Working Day/ Time : Sunday to Thursday, 8.30am to 6pm (5 days)

* Sometimes need to wear jumpsuit work inside clean room.

* Require teamwork in order to complete tasks and accomplish common goals.

Job Summary

You will maintain accurate data inputs into the company database by organizing, updating, filing, and scanning documents. You will assist with internal document distribution and perform data entry for invoices, bills, and service reports while supporting office administrative tasks.

Responsibilities

• Organize, update, file, and scan documents to maintain accurate records
• Assist in internal distribution of documents, including stamping, photocopying, and scanning
• Prepare and enter data for invoices, bills, and service reports to ensure timely processing
• Regularly update and maintain existing data records for accuracy and completeness
• Perform office administrative and clerical tasks to support daily operations
• Handle ad-hoc duties as assigned to meet team and organizational needs
• Maintain confidentiality and securely handle sensitive information
• Use data entry software, Microsoft Office applications (Excel, Word), and Cloud-based applications effectively
• Manage time and tasks efficiently to meet deadlines and support team goals
• Collaborate reliably as a self-motivated team player

Job Responsibilities:

• Ensure accurate entry of inwards and outwards stock movement from warehouse

• Accurate recording of incoming goods invoice into the system

• Assist in monthly cycle count and half yearly stock count

• Proper filing of documents for audit

• Ensure all billing activities are well coordinated to meet customers’ requirement.
• Issue Invoices and Delivery Orders, coordinate with warehouse and follow up on delivery.
• Generate and send out invoices to customers on time.
• Update sales database into the system.
• General administrative duties.
• Any other ad hoc tasks as assigned.

About the Role:

Key Responsibilities:

• Digitize and scan customer profiles into the system on a daily basis
• Ensure all customer documents (e.g. profiles, member IDs, treatment records, remarks, invoices) are complete and well-organized prior to scanning
• Maintain accurate and up-to-date digital records
• Perform data checks to ensure accuracy and completeness after scanning
• Organize and manage scanned files for easy retrieval
• Assist with general administrative and ad-hoc duties when required

• Update, delete, or correct outdated information in databases to ensure data integrity and reliability
• Sort, organize, and file digital and physical documents for easy retrieval and efficient record keeping
• Review and audit data entries to detect and correct errors before and after input to maintain accuracy
• Back up data using cloud software or external storage to protect information and maintain confidentiality
• Compile and sort information to prepare data for reporting and analysis
• Generate data reports and summaries to support management decision-making
• Perform administrative tasks such as scanning files to maintain organized digital records

Preferred competencies and qualifications
