The Employer

The Employer is a family office of the promoters of a large business house with interests in fashion, food and footwear retail in several countries in South East Asia. It is interested in bringing on board an experienced executive assistant to support three promoter-directors.

Key Responsibilities

The role combines executive administration, project coordination, stakeholder management, and personal support responsibilities. The successful candidate will act as a trusted partner, ensuring seamless operations, effective prioritization of key initiatives, and efficient management of both business and personal commitments.

Executive & Administrative Support

* Manage complex calendars, meetings, appointments, and travel arrangements.

* Prepare meeting agendas, briefing materials, presentations, and correspondence.

* Screen communications and manage information flow on behalf of the Family Office

* Coordinate logistics for internal and external meetings.

Project & Priority Management

* Track action items, deadlines, and key deliverables across multiple workstreams.

* Follow up with internal teams and external stakeholders to ensure timely execution.

* Maintain effective systems for monitoring commitments and escalating issues when required.

* Support the implementation of strategic and operational initiatives.

Stakeholder & Communication Management

* Serve as a key liaison between the Family Office and senior stakeholders.

* Draft, review, and coordinate reports, presentations, and business communications.

* Support investor relations activities, board meeting preparation, and corporate communications.

* Handle confidential information with the highest degree of professionalism and discretion.

Financial & Administrative Coordination

* Coordinate invoice processing and vendor payments with the Finance team.

* Review billing documentation and resolve discrepancies where necessary.

* Manage company credit card expense submissions and related administrative processes.

Personal & Lifestyle Support

* Coordinate medical appointments and wellness-related services

* Arrange personal logistics, meal deliveries, household orders, and other administrative requirements.

* Support ad hoc requests and special projects as needed.

Qualifications & Experience

The ideal candidate will have experience supporting senior executives in fast-paced, high-performance environments such as management consulting, investment banking, private equity, family offices, or similar organizations.

* Bachelor's degree from a reputable university.

* 5–10 years of Executive Assistant experience supporting senior executives or principals.

* Experience in consulting, investment banking, private equity, family offices, or similarly demanding environments preferred.

* Exceptional organizational, planning, and time-management skills.

* Strong analytical and problem-solving capabilities.

• Lead end-to-end tendering processes, including bid strategy, risk assessment, pricing coordination, and submission.
• Review and interpret client-issued tender documents (e.g., RFPs, ITTs, BOQs, and drawings), ensuring all deliverables are understood and responded to appropriately.
• Develop and implement structured internal workflows for bid preparation, approvals, and stakeholder alignment.
• Lead negotiations on commercial terms, qualifications, and contract risk allocation in collaboration with legal and executive management.
• Manage communication with clients during tender periods, including handling clarifications, RFIs, and interviews.
• Oversee preparation and submission of all tender documentation, ensuring professional presentation and on-time delivery.
• Support post-tender activities including negotiations, contract award, and handover to project delivery teams.
• Maintain a lessons-learned database to improve future tendering strategies and processes.
• Lead and manage the Quantity Surveying (QS) team, overseeing project cost control and commercial performance.
• Review and monitor project costing, including inter-project and inter-company cost allocations.
• Handle contractual matters with clients and subcontractors, including negotiations, claims, and settlements.
• Resolve project cost and contractual issues raised by the QS and project teams.
• Oversee project profit and loss performance and ensure contractual compliance across projects.

Qualifications

Bachelor's Degree in Quantity Surveying, Construction Management, Civil Engineering, or a related field.

Minimum of 8 years of progressive construction management experience and tendering, with at least 8 years in a senior leadership role.

Proven experience managing complex mid-to-large scale or interior fit-out commercial building projects.

Excellent understanding of commercial risk, contract negotiation, and legal implications in construction contracts.

Strong organizational skills including attention to detail and methodical approach to work

Strong knowledge of construction methods, materials, scheduling, and financial management.

Excellent written, communication, negotiation, and leadership skills.

Proficient and competent in MS Office applications, particularly in Excel, and project management software.

Job Description

• Develop and review technical documents such as design basis, load lists, cable schedules, and single-line diagrams
• To involve in the planning and design of electrical engineering works for building services.
• To prepare tender document, design and technical for MEP specifications for tenders, as well as supervise the installation and commissioning of MEP works.
• To collaborate with peers of other disciplines in feasibility studies and design, as well as ensure excellent delivery of service to clients.
• Ensure that the works are carried out in accordance with the project quality plan, contract requirements including the drawings and specifications
• Monitor and control works including those of subcontractors to ensure compliance with the specified requirements
• Ensure material submission and approval, ordering and delivery are according to agreed schedules
• Liaise and coordinate with M&E consultants, clients, subcontractors, authorities and to establish rolling programme
• Coordinate meetings and daily briefings at site
• Check all installation drawings and prepare relevant schedule
• Perform testing and commissioning at work site
• Prepare shop drawings for construction
• Co-ordinate with the rest of the team right down to the foreman/subcontractor to ensure everyone is clear on the planning, scope, resource requirements
• Ensure that the works are carried out on time in accordance with the programme and on budget.
• Guide and support subordinates in carrying out the tasks as planned; Seek support from and report to superior if required
• Assess subcontractor performance against plan and resolve issues collaboratively; Escalate major deviations/delays from plan to superior in a timely manner

· Job Requirement:

• Degree in Electrical Engineering with at least 5 years of experience in M&E projects
• Preferably with relevant experience in the construction industry
• Good communications skills and able to work under minimum supervision

Key Responbilities:

• Responsible for day-to-day success of project execution and management of the construction process
• Study all project information and drawings to understand the design and detailing
• Review all necessary documents required by the project e.g., building guideline, BOQ, method statement etc
• Establishes project execution plan in conjunction with the Project Manager
• Close monitoring of daily work activities, with schedule
• Work closely with Designer, Quantity Surveyor and sub-contractor to ensure on-time delivery of project within budget and with good quality
• Responsible for achieving goals of quality time and cost
• Conduct risk management and oversee all HSE checks, reports and incidents
• Weekly construction meeting with sub-contractor to update site progress and issue
• Submit weekly progress report and update any site work discrepancy

Pre-Construction Stage

• Attend Project Start-Up Meeting
• Conduct site visit and develop construction program
• Prepare information required schedule
• Obtain approval of the construction program during the design brief meeting

Construction Stage

• Site possession and agree site defects with building management
• Prepare site establishment plan and logistics
• Check all Method/Risk statements comply with the work scheduled and mitigating any Risks
• Manage the day-to-day progress of works on site and resolve all trade contractor and building facility management co-ordination issues
• Monitor and maintain progress and program. Ensures any delays are addressed and resolved immediately. Escalate any necessity for request of extension of time to the Project Manager immediately
• Manage design information and Change Orders in conjunction
• Ensure materials used are to spec and cross referenced to schedule and sample boards
• Highlight and address design build ability issues with in construction drawings and shop drawings
• Monitor quality and trade contractor performance through supervision, regular inspection and snagging
• Conduct, document and maintain all scheduled project meetings and proper records of drawings
• Manage the day-to-day implementation of Health, Safety Environment and liaise with the HSE Officer / Co-coordinator

Completion Stage

• Prepare completion program with Project Director
• Conduct final verification and quality audit for all completed trade contractor's work
• Conduct and complete progressive final snagging and defects clearance
• Conduct joint final inspection with client and consultant
• Document and complete identified defects by client / consultant

Requirements

• Diploma/Degree in Interior Design, Architecture, Project Management, Construction Management or related disciplines
• Over 5 years relevant working experience in corporate offices interior fit-out works with multi-national companies exposure preferred
• Able to read architectural and technical drawings thus translates to construction activities
• Good knowledge of statutory and safety regulations/requirements
• Familiar with computer software such as Microsoft, Word, Excel, PowerPoint and MS Project
• Strong project planning, organizing, monitoring, supervising and controlling. Strong interpersonal and leadership skills
• Highly independent, client oriented and team player

Roles & Responsibilities

• Monitor construction sites and enforce compliance with government regulations, acts and standards.
• Facilitate site compliance according to the Health and Safety Standards and requirements
• Liaise with client’s EHS representative and ensure all site personnel follow and comply with their EHS policies and procedures.
• Attend meetings- tool box, daily close out meeting sub con safety supervisors, weekly sub-con meeting, Weekly HSE meeting, sub con interview and kick off meeting, monthly WSH meeting, risk management review meeting and Management Review Meeting(once every two months). Liaise with government authorities to resolve the worksite safety issues. Liaise with safety auditors.
• Generally work in either an office environment or on a construction site. Within an office, they set and review health and safety guidelines in order to minimize accidents and injuries. These professionals may also travel to construction sites to conduct safety audits.

Job Requirements

Job Description:

Requirements:

• Degree in engineering or equivalent
