We are a growing construction and engineering company looking for a Tender & Project Administrator to support our tender submissions and project coordination activities.
Job Summary
We seek a Tender & Project Administrator to manage tender submissions and coordinate project activities, ensuring organized communication and documentation across stakeholders in a growing construction and engineering company.
Responsibilities
- Prepare and complete tender submission forms accurately to meet client requirements
- Compile and organize company documents, certifications, and supporting information for tender submissions
- Upload and submit tender documents through client portals within deadlines
- Maintain and update the tender register and submission schedule to track progress
- Monitor tender deadlines, briefings, and site showrounds to ensure timely participation
- Coordinate tender-related documentation with Quantity Surveyors and management teams
- Schedule project meetings and appointments to support project timelines
- Facilitate communication between Project Managers, Quantity Surveyors, clients, and subcontractors to ensure smooth project coordination
- Maintain comprehensive project records and filing systems for easy retrieval and compliance
- Prepare meeting minutes and action trackers to document decisions and follow-ups
- Monitor project documentation and submission requirements to ensure completeness and accuracy
- Perform general office administration tasks to support daily operations
- Manage data entry and document management to maintain accurate records
- Support management with operational coordination to enhance workflow efficiency
Preferred competencies and qualifications
- Prior experience in construction, engineering, project administration, or tender administration is an advantage
- Ability to manage multiple deadlines effectively
- Proficiency in Microsoft Excel, Word, Outlook, and PDF editing tools
