• Communicate to appropriate staff when guests are waiting for an available room
• File guest paperwork or documentation. Operate telephone switchboard station
• Run and check daily reports, contingency lists, and credit card authorization reports
• Responsible for managing group arrivals and departures
• Act as the main point of control for saleable rooms in conjunction with Revenue, Sales and Front Desk teams
• To be familiar with all room types, availability, rates, group movements and billing, daily events, promotions, VIP’s and Guest History guests
• To ensure that the Duty Manager is informed immediately of any emergency, security or health and safety matter
• To be able to manage back office (Front Office) administrative tasks such as inventory control to ensure inventory are managed and ordered when required
• Other administrative tasks such as rostering to be submitted in a timely manner for approval

We are looking for full-time Front Office Associate to serve as our guests’ main point of contact and manage all aspects of their accommodation. Serving as KINN’s ambassador, you will be instrumental in creating a pleasant and memorable stay for our guests, and to show them the full KINN experience.

Responsibilities

• Perform check in and check out duties in accordance to the Hotel’s P&P Standards
• Update guest information into Hotel PMS system
• Filing of guest registration cards into Guest In House folders for check in guest
• Filing and storage of guest registration cards for check out guests
• Checking and charging of daily arrivals, guest in house and future bookings via Hotel PMS and various OTAs (Online Travel Agent) according to Hotel P&P standards
• Checking of daily arrivals and departures, ensuring that rooms/capsules are blocked and prepared for guest arrivals
• Perform checks on cleanliness of public areas and other guest areas such as dorms, guest toilets, public areas etc
• Check pantries and topping up of pantry amenities
• Preparing and sending of daily hotel reports to relevant parties nightly
• Shift timing: 10.30pm to 8.00am

Requirements

• Independent and adaptable
• Self-confident and makes an effort to be well-groomed and tidy
• Excellent communication and organizational skills
• Previous work experience as a hotel front desk agent, receptionist or similar role is preferred, but will train the right person.
• Commitment to work a 5 day work week including shifts and weekends.
• Experience with property management and digital softwares such as CloudBeds or Opera will be a huge plus!
• Experience managing online travel agent websites such as Booking.com and Agoda work is an advantage

Job Summary

You will support daily project coordination and administrative tasks to ensure smooth project execution and accurate documentation within the company.

Responsibilities

• Coordinate ongoing projects by providing administrative support to ensure timely completion
• Manage pantry orders, stationery supplies, and Taobao purchases to maintain office resources
• Schedule and coordinate office maintenance activities, including aircon servicing and cleaning, to ensure a well-maintained work environment
• Organize and coordinate schedules, meetings, and site appointments for project teams as needed
• Prepare, organize, and maintain accurate project documents and records for easy retrieval and audit readiness
• Liaise with internal teams, suppliers, and subcontractors to facilitate clear and professional communication
• Track project progress and update reports to reflect current status and milestones
• Assist in preparing quotations, invoices, and basic project documentation to support finance operations when required
• Ensure all paperwork is properly filed, updated, and accessible for audit and reference purposes
• Support Finance and HR departments with filing, organizing, and simple data entry tasks as needed
• Adapt to potential role changes, including transition to Admin Executive or Personal Assistant positions

Preferred competencies and qualifications

• Basic administrative or project coordination experience preferred
• Proficient in Microsoft Office applications including Excel, Word, Outlook, and OneNote
• Communicate clearly and professionally with multiple stakeholders to facilitate collaboration
• Organize multiple tasks and maintain detailed records to support project and office operations
• Multitask and work independently with minimal supervision
• Demonstrate responsibility, attention to detail, and a proactive approach to work
• Singaporean, Permanent Resident, or Long-Term Visit Pass holder preferred

Salary

• SGD $1800 – $2500 per month (basic), depending on experience
