Major Duties and Responsibilities

• Invoice Processing (Accounts Receivable (AR) / Accounts Payable (AP) )

Ensure completeness, accuracy, and proper documentation to support downstream processes such as payments and collections.

• Reconciliation and Schedule Preparation
  Perform reconciliations for vendor statements, customer accounts, and fixed assets (as assigned), ensuring accuracy and timely resolution of discrepancies. Prepare clear and audit-ready schedules and supporting documentation.

• Fixed Assets Management
  Manage the full lifecycle of fixed assets, including capitalization, depreciation, transfers, and disposals, in compliance with accounting standards and company policies. Maintain accurate asset registers, perform periodic verifications, reconcile with the general ledger, and support physical asset sighting exercises.

• Documentation, Audit, and Workflow Coordination
  Manage document workflows, including email sorting, indexing, archival, and circulation for approvals and system processing. Maintain complete and organized supporting documentation for finance transactions and audits, including filing, scanning, and retrieval.

• Finance Systems and ERP Support
  Support ERP and finance systems activities, including implementation, enhancements, data validation, and reporting. Coordinate vendor onboarding to InvoiceNow, including communication, follow-ups, and status tracking.

• Assist with Audit requirements and clarifications

Other Requirements

Key Responsibilities

Payroll Administration

• Process monthly payroll accurately and on time.

• Maintain employee payroll records, attendance, leave, overtime, and claims.

• Ensure compliance with statutory requirements including CPF, IRAS, SDL, and other government-related submissions.

• Prepare payroll reports, payslips, and reconciliation schedules.

• Handle payroll-related queries from employees.

Finance & Accounting

• Manage accounts payable and accounts receivable functions.

• Prepare invoices, payment vouchers, and bank reconciliations.

• Maintain proper accounting records and documentation.

• Assist in month-end and year-end closing activities.

• Support budgeting, forecasting, and financial reporting processes.

• Liaise with auditors, banks, vendors, and government agencies when required.

Administrative & Compliance Support

• Ensure compliance with company policies and financial procedures.

• Maintain confidentiality of payroll and financial information.

• Assist in improving payroll and finance processes for operational efficiency.

• Support ad-hoc finance and administrative duties assigned by management.

Requirements

• Diploma or Degree in Accounting, Finance, Business Administration, or related field.

• Minimum 2–3 years of experience in payroll and finance/accounting functions.

• Knowledge of Singapore payroll regulations and statutory submissions is preferred.

• Proficient in Microsoft Excel and accounting/payroll software.

• Strong attention to detail, accuracy, and organizational skills.

• Ability to handle confidential information professionally.

• Good communication and interpersonal skills.

Preferred Skills

• Experience with accounting systems such as Xero, QuickBooks, SAP, or MYOB.
