Job Responsibilities
1. Project Administration
· Assisting reviewing and understanding interior design quotations to grasp basic project scopes, material specifications, and budgeted quantities for cross-checking subsequent PO requests.
· Monitor active project timelines and proactively follow up with/remind designers to submit PO requests in a timely manner to prevent material delivery delays and disruptions to site progress.
· Review PO requests submitted by designers to ensure all required information is complete, accurate, and in compliance with the Company's procurement procedures.
· Check whether the sub-contractors used are in-house or external, and report the details to the Head.
· Verify client payment status with respective designers / Account Department to ensure required payment milestones have been met before processing PO requests.
· Handle PO data entry and issuance, and assist in following up on amendments, revisions, reissuance, or closure of POs.
· Collaborate closely with the Accounting Department to verify and reconcile supplier invoices against approved POs and supporting documents to ensure smooth and accurate payment processing.
· Maintain ,organize, and update tracking logs for Purchase Orders, Variation Orders (VOs),invoices, and related procurement records.
2.Supplier & Subcontractor Administration
· Serve as the main liaison between the Company and suppliers/subcontractors for day-to-day coordination and communication.
· Coordinate and follow up on meetings, onboarding procedures, agreements, and related documentation for new suppliers and subcontractors.
· Maintain and update the supplier and subcontractor database.
· Collect, organize, and regularly update suppliers' and subcontractors' quotations, pricelists, and related information.
· Maintain and manage supplier and subcontractor records, agreements, and supporting documents.
3. HDB Permit Application Support
· Assist the Company in applying for and following up on permits and other related applications.
Requirements
· Minimum Diploma from a local Polytechnic or equivalent qualification.
· Relevant experience in the renovation, construction, or interior design industry.
· Basic understanding of interior design quotations, pricing, or billing documents is a plus.
· Good communication and coordination skills, with a positive attitude to support team members and keep track of project timelines.
· Proficient in Microsoft Office (Excel, Word, and Outlook); knowledge of AutoCAD is an advantage.
· Strong attention to detail and accuracy in handling figures and documentation.
· Responsible, organized, and able to work independently.
