What You Will Do

• Track agency performance, candidate pipelines, and recruiting activity across active searches

Interview Scheduling & Candidate Logistics

• Coordinate phone screens, virtual and onsite interviews, and executive interviews across multiple time zones

• Be present in the office 4~5 days a week. For the onsite interviews, register candidates with the building reception, escort them to the meeting room.

• Ensure a smooth and professional experience throughout the interview process

• Quickly resolve scheduling conflicts and last-minute changes

Candidate & Pipeline Management

• Maintain accurate candidate records and recruiting data within the Applicant Tracking System (Ashby)

• Track interview completion, feedback collection, and hiring team responsiveness

• Assist with candidate communications, including interview invitations, status updates, and offer coordination

Offer & Hiring Support

• Assist with offer logistics and candidate closing activities in collaboration with the hiring managers, who will directly communicate the offer details with candidates

• Coordinate offer letters for signing, and transition to the Office Manager for the onboarding handoffs

• Support ad hoc recruiting projects and hiring initiatives as the company scales

Who You Are

• Minimum 3 years of recruiting coordination experience within a technology company, high-growth startup, or fast-paced recruiting environment

• Proficiency with Applicant Tracking Systems (Ashby preferred) and scheduling tools

• Demonstrated experience supporting multiple concurrent hiring processes and stakeholders

• Strong experience coordinating interviews across multiple time zones and seniority levels

• Exceptional organizational skills with strong attention to detail

The Role

Who You Are

Product Leader

• 20+ years of experience across engineering, product management, and platform leadership roles, with demonstrated ownership of large-scale financial or technology platforms.
