Job Summary
The Sales Support Executive plays a critical role in supporting the Sales and Operations teams by ensuring smooth coordination between clients, sales personnel, production, procurement, and project execution. This position requires a strong technical background, excellent costing and planning skills, exceptional communication abilities, and a high level of emotional intelligence (EQ) to deliver outstanding customer service and maintain strong client relationships.
The successful candidate must be detail-oriented, proactive, capable of handling multiple priorities, and committed to providing a professional and seamless experience for every client.
Key Responsibilities
1. Sales & Client Support
- Provide comprehensive administrative and technical support to the Sales and Operations teams.
- Prepare quotations, costing sheets, proposals, and project documentation accurately.
- Ensure all sales documents are complete before processing.
- Follow up closely with clients regarding quotations, confirmations, project schedules, and outstanding matters.
- Build positive relationships with clients and ensure they receive prompt, professional, and courteous service.
- Handle customer enquiries and resolve issues efficiently while maintaining high customer satisfaction.
2. Costing & Technical Support
- Prepare detailed product costing, pricing calculations, and profit margin analysis.
- Possess strong technical knowledge of furniture products, materials, hardware, manufacturing processes, and installation requirements.
- Review drawings, specifications, and project requirements to ensure accurate costing.
- Assist in value engineering and recommend cost-effective alternatives where appropriate.
- Verify material quantities, measurements, and production requirements before project commencement.
3. Planning & Project Coordination
- Coordinate project schedules with internal departments to ensure timely delivery.
- Assist the Operations Manager in monitoring project progress and ensuring deadlines are met.
- Follow up with internal teams on outstanding tasks, approvals, and project updates.
- Coordinate with procurement, production, logistics, installers, and external suppliers to ensure smooth project execution.
- Monitor project timelines and escalate potential delays proactively.
4. Operations Support
- Assist the Operations Manager in tracking project status and ensuring all departments meet their commitments.
- Follow up with internal teams and clients for confirmations, approvals, drawings, materials, delivery schedules, and site readiness.
- Ensure information communicated between departments is accurate and timely.
- Prepare weekly project progress reports and update management regularly.
5. Communication & Customer Experience
- Serve as one of the primary points of contact between clients and the company.
- Communicate professionally with clients, consultants, contractors, suppliers, and internal teams.
- Demonstrate excellent interpersonal skills and emotional intelligence when handling customer concerns or project challenges.
- Maintain a calm, solution-oriented approach under pressure.
- Ensure every client feels valued, supported, and confident throughout the project lifecycle.
6. Documentation & Administration
- Maintain accurate project records, quotations, purchase information, costing files, and correspondence.
- Ensure all project documentation is properly filed and updated.
- Assist in preparing reports, presentations, and management summaries as required.
