Role purpose of the Business Acceptance Unit

• To process requests from partners for A&O to accept new legal matters including, in particular, performing anti-money laundering and background checks on new clients and performing conflicts checks (within internal databases) on each new matter (for both new and existing clients);
• To obtain from relevant lawyers required evidence of identity for new clients (and existing clients for whom the practice has done no work in the preceding two years and whose ownership or control may therefore have changed in the intervening period);
• To screen and, where requested, send conflict search emails (containing information on new legal matters) to all partners and to monitor responses, analyse search results and, in consultation with the originating lawyers, determine whether or not the new legal matter is clear of conflicts and appropriate for the practice to take on;

Communications & Content

• Prepare and format PowerPoint presentations and internal communication materials

• Update intranet content (Wealth Release Hub) using basic CMS/HTML editing

• Support email communications (EDMs), including drafting, formatting, and simple graphics

• Proofread materials for clarity, grammar, and compliance with internal standards

Administrative Support

• Manage calendars, schedule meetings, and coordinate logistics for senior managers

• Organize meeting setups, materials, and stakeholder coordination across teams

• Support documentation, agendas, minutes, and tracking of action items

Finance & Operations

• Process invoices and expenses, including purchase requests and payment tracking

• Maintain budget and expense trackers and ensure accurate reconciliation

• Ensure compliance with internal procurement and governance procedures

Requirements

• Diploma or Degree in Communications, Business, Finance, or related field

• Strong Microsoft Office skills (PowerPoint, Word, Excel)

• Basic understanding of HTML/CMS and/or graphic editing is an advantage

• Strong written and verbal English communication skills

Key Responsibilities

Pricing & General Price Increase (GPI) Management

• Support the annual General Price Increase (GPI) exercise for Global Customers, including incentive plan compilation and pricing reviews.
• Clarify pricing terms and ensure alignment across stakeholders.
• Assist in the implementation and maintenance of pricing updates across systems.

Rate Management & System Maintenance

• Support setup, maintenance, and updates of rates within billing systems.
• Validate and cross-check rate updates to ensure pricing accuracy and data integrity.
• Assist in central coordination and execution of pricing updates for Global Customers.

Global Agreement Administration

Maintain and update Global Customer Agreement information and pricing terms.
Review, update, and communicate fuel surcharge terms and changes to relevant stakeholders.
Support post-activation activities and ongoing maintenance of customer agreements.

Requirements:

• Diploma/Degree (preferred) in any field with strong analytical background, no experience required

• Proficient in Microsoft Excel, particularly the capability to analyse large volumes of data

Responsibilities

• Handle over-the-counter transactions in an efficient and accurate manner

Job Description

The Facilities Engineer Analyst role is responsible for providing technical support, system governance, and data-driven analysis for Facilities operations. This role supports the operational stability and continuous improvement of facility systems, including maintenance management, building monitoring, utilities monitoring, and sustainability systems.

The role is also responsible for departmental systems related to finance, inventory, compliance, and facilities governance. Acting as a key coordinator for Facilities management systems, this position supports ISO compliance, cost control, sustainability initiatives, and RBA requirements.

The role makes substantial technical contributions to the department by applying proven solutions to complex operational and system-related challenges. It also supports innovation by analyzing customer feedback, identifying improvement opportunities, and contributing to technical enhancements.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Manage and support Facilities-related digital systems including:
  • Computerized Maintenance Management System (CMMS)
  • Building Management / Monitoring Systems (BMS)
  • ISO, RBA and ESG monitoring systems
  • Sustainability tracking systems
• Ensure system reliability, data accuracy, and effective user adoption.
• Support system troubleshooting, enhancements, and integration improvements.
• Analyze facilities operational data including maintenance performance, utilities consumption, downtime, and efficiency trends.
• Identify gaps, inefficiencies, and opportunities for improvement.
• Provide technical input to support operational decision-making and problem-solving.
• Support ISO, RBA, EHS, and sustainability compliance systems.
• Ensure accurate documentation and reporting for audits and governance requirements.
• Support cost saving initiatives and tracking mechanisms.
• Support departmental finance tracking and reporting systems.
• Maintain inventory management system accuracy (spare parts, materials, and equipment).
• Ensure proper data control for cost and stock visibility.
• Provide technical support for Facilities operations and system users.
• Support resolution of complex technical and system-related issues.
• Translate operational feedback into system or process improvements.
• Contribute to innovation and digitalization initiatives within Facilities
