Job Responsibilities
1. Business & Operations Performance
Prepare the financial performance of the programs assigned.
Represent the company and co-lead with the Program Manager, the Business and Operations reviews with the clients, working with clients to work on new project initiatives and address any gaps in the operations performance.
2. Customer Service
Work closely with other internal stakeholders to provide quality, pro-active communication to clients’ queries.
3. Operations
Prepare and monitor assigned clients’ key performance indicators (KPIs) and address the gaps in the performance with the other internal stakeholders like Logistics team, Production team and Quality team to improve and meet clients’ service level and performance.
4. Order Fulfilment
Ensure all orders are processed in a timely fashion.
Liaise with freight forwarders to ensure shipment are picked up on time from the regional hub.
5. Billing
Responsible for the timely and accurate billing to clients for service performed.
6. Projects
Participate in any projects as assigned by Program Manager from time to time.
Job Requirements
Diploma/ Degree in Supply Chain and Logistics Management / Operations Management / Engineering related fields with preference in Industrial Engineering.
At least two (2) years in an operational/ 3PL environment.
Experience in the following SAP modules would be preferred - Material Master (MM) / Sales and Distribution (SD) / Production and Planning (PP)
Excellent customer service skills.
High level of proficiency in MS Office 365 especially in Excel and Powerpoint.
Strong problem-solving ability.
Great team player with strong interpersonal and communication skills.

Client Relationship Management
Build and maintain strong relationships with key stakeholders of across assigned client accounts
Provide regular updates and ensure timely follow up on outstanding matters
Deliver a high standard of service to drive client satisfaction
Order Management and Execution
Manage SAP setup, including material master, customer master, and contact creation
Oversee inbound and outbound order processing in coordination with Clinical Operations, QA, and Finance teams
Handle courier arrangements and track shipments through to proof of delivery
Manage vendor and supplier relationships
Liaise with Regulatory team to secure import licenses for inbound shipments
Maintain accurate databases for shipment tracking and order management
Update clinical systems (IVRS/IWRS/IXRS) with shipment status
Provide clients with inventory reports, shipment updates, and invoicing details
Maintain proper documentation, including study files and archiving
Study / Project Management
Draft and review Depot Project Instructions to ensure accuracy and compliance
Train stakeholders to ensure adherence to study requirements
Manage study setup, execution timelines, and close-out activities
Coordinate with Sponsors, CROs, and internal teams across multiple countries
Monitor project timelines and budgets
Compliance and Quality
Ensure adherence to ISO standards and regulatory guidelines (GMP/GDP/GCP)
Support internal and external audits
Continuous Improvement
Identify and contribute to process improvement and cost savings initiatives
Must-Have:
Degree in Logistic, Supply Chain Management or related discipline.
Experience with SAP (Order processing, shipping and courier coordination)
Proven experience managing projects across multiple countries
Strong communication and stakeholder management skills
