We are seeking a proactive and detail-oriented Purchasing Executive to join our growing team in the Fragrance & Flavor (F&F) industry.

This role supports procurement and supply chain activities to ensure the smooth and timely sourcing of materials required for our customers and operations.

This position is ideal for candidates who are organized, eager to learn, and interested in developing a career in purchasing and supply chain within an international trading environment.

Prior experience in the F&F industry is not required, as training will be provided.

Key Responsibilities:

• Prepare and process purchase orders while ensuring accuracy of order details.
• Communicate with suppliers to obtain quotations, confirm order details, and monitor delivery timelines.
• Coordinate with logistics partners and internal teams to track shipments and ensure timely arrivals.
• Monitor inventory levels and support replenishment planning.
• Maintain and update purchasing records, pricing information, and lead times in internal systems.
• Assist in managing supplier documentation, product specifications, and quality-related information.
• Support the purchasing team in supplier follow-ups, shipment consolidation, and cost coordination.
• Collaborate with internal departments to resolve order, delivery, or quality-related matters.

Requirements:

• Diploma in Supply Chain, Logistics, Chemistry, or a related field.
• Strong attention to detail with good organizational and multitasking skills.
• Good communication and coordination skills when working with suppliers and internal teams.
• Proficiency in Microsoft Office; experience with ERP systems is an advantage.
• A positive attitude, willingness to learn, and ability to work in a fast-paced environment.

The Customer Service Executive is responsible for managing customer orders, coordinating deliveries, and serving as the supporting contact point for customers to ensure timely, accurate, and professional service. This role works closely with internal stakeholders, suppliers, forwarders, and warehouse to support end-to-end order fulfilment and resolve customer enquiries effectively.

 Key Responsibilities

Order Management & Coordination

• Process and manage customer orders accurately and in a timely manner.
• Issue order confirmations and update customers on delivery schedules.
• Coordinate with internal operations, warehouses, and logistics partners to ensure on-time delivery.
• Monitor order status and proactively manage delays or exceptions.
• Manage sample approvals with customers to trigger shipments.

Customer Communication

• Handle customer complaints, delivery issues, and service requests professionally.
• Provide timely updates on order changes, delays, or stock availability.
• Maintain strong relationships with customers to support long-term business partnerships.

Documentation & System Updates

• Prepare and maintain accurate order-related documentation (DO, invoices, shipping documents where applicable).
• Update orders, delivery statuses, and customer records in SAP.
• Ensure all data entries are accurate and compliant with company procedures.

Internal & External Coordination

• Liaise with sales, purchasing, logistics, finance, and warehouse teams to support smooth order execution.
• Coordinate with suppliers, freight forwarder, and 3PLs on shipment and delivery matters.
• Support audit, reporting, or management requests related to customer orders and service performance.

Continuous Improvement

• Identify service issues, trends, or recurring problems and propose improvement actions.
• Support process improvements to enhance customer satisfaction and operational efficiency.
