Summary of the Job

• To accurately input, update, and maintain data in company systems and records, while ensuring materials and transactions are correctly matched to the respective production orders, supporting data integrity and operational efficiency.

Job Responsibilities:

1) Data Entry & Record Managemnt

• Enter data into systems (ERP, QC Apps)

• Perform data verification and cross- checking to minimise errors and discrepancies.

• Generate daily, weekly, and monthly QC data reports as required by the QC team.

2) Material & Production Order Verification

• Cross-check:
  - Production Order Number
  - Item/ Part Number
  - Quantity
  - Ensure no mismatch between materials and system records

3) Communicate with production, warehouse, and relevant departments to clarify missing or incorrect data

4) Generate daily handover report for QC to Warehouse and secondary process

5) Assist leader on job order closing, timesheet update using ERP

6) Other duties as and when assigned

Job Requirements:

• Secondary/ NTC in Engineering and above

• At least 1 year experience in Data entry/ documentation control

• Knowledge of MS Office

• Ability to communicate orally in English language and produce written documentation with clearly organized thoughts

• Self-motivated, highly resourceful, and organized

Summary of the Job: (Primary function of the job)

• Assist sales in attending customers' needs and expectation

• Execute and follow up sales administrative works

• Maintain proper records of all sales related documents

Job Responsibilities: (Key responsibilities of the job)

• Attend to sales/Program enquiries, prepare and follow up sales quotation and proposal

• Maintain filing of all sales transactions records, quotation, PO, JO, invoice, etc.

• Send finalized Sales quote comprising material cost accepted by customer without markup to SCM to create Business Partner code master data or/and material purchase item BP

• Process job order and other documents until order is closed

• Follow up to ensure closure of quotation

• Follow up delivery schedule and arrange parts delivery to customers

• Attend to and follow up customer's issues until closure.  Escalate to Sales if necessary

• Present sales reports, open PO list, RFQ Tracker, etc

• Manage DO & Invoices

• Support Finance in Debtors AR

• Generate Reports

• Perform tasks as and when assigned

Job Requirements:

• Min ITE/ Diploma (prefer Mechanical)

• Preferably 3 to 5 years in relevant work experience

• Proficient in MS Office/ Excel

• Good communication skills

Job Summary:

Supporting role in Logistics Inbound & Outbound activities

Job Responsibilities: (Key responsibilities of the job)

• Packing & Palletizing and related logistics assistance for movement of stocks/ products
• Label goods received with accuracy and ensure proper storage of goods as required
• Material kitting for outbound transaction & material movement to production shopfloors
• Escalate to Supervisor/ Manager if found concern on safety issues or potential breakdown in warehouse process gaps that may lead to inventory inaccuracy, quality of the materials and delivery during receiving and materials issuing
• Ensure receiving items are correct and complete with the accompanying documents and strictly following the documented Work Instruction and Procedures.
• Notify Logistics for any discrepancy for receiving & outbound items
• Ensure that the storage area and the goods are properly maintained
• Other duties as and when assigned

Job Requirements:

• Minimum GCE N level or equivalent.
• Basic understanding of English.

1) Provide the necessary service and technical support in resolving machines issues to Sys-Mac supplied customers.

2) Prepare and submit the Service Reports and other documentation to the Service Supervisor.

Job Responsibilities: (Key responsibilities of the job)

1) Provide service and technical support in resolving machine issues to SysMac supplied customers, as assigned by the Service Supervisor.

-  This include existing and new customers, as well as onging projects.
Must be able to standby during off-work periods and on weekends &
holidays calls, as stipulated on the service contacts and if demands needed.

-  Service and technical support can be rendered via on-call, remote or on-site to the customer plant/factory.

2) Provide on-call, remote or on-site technical support on customer's machine issues.

- Communicate and coordinate with customer on resolving technical issues in order to restore, repair or online back their machine.

-  Must travel and provide onsite support, if the on-call or remote support was unsuccessful.

3) Prepare Service Reports upon resolving and completion of the
machine issues.

4) Perform scheduled preventive maintenance work to customer on-site, as assigned by the Service Supervisor.

5) Deliver, installed, test and handover spare parts, repaired, and/or restored machines to customer.

6) Must have a high sense of urgency in providing service support to customers.

7) Others:

-  Assist in machine assembly, debug and commisioning of machines at the Sys-Mac factory floor during off-service period as this will allow the service team to familiarize the machine for future servicing works.

1) Bachelors Degree or Diploma in Electrical or Mechatronic Engineering

2) Minimum 3 years experience in Automation Machine Building and System Integration

• Responsible to supports production operations through timesheet management, cost reporting, work order processing, material coordination, documentation control, and cross‑functional collaboration to ensure timely and efficient workflow

• Manage and update employee timesheets accurately
• Prepare and maintain accurate labour and material cost reports for management utilisation
• Process, update, and track work orders to ensure smooth workflow and timely production planning.
• Create, review, and process purchase requisitions promptly, ensuring all material requirements are accurately submitted.
• Coordinate closely with project management, logistics, engineering, and purchasing teams to support production schedules.
• Prepare and consolidate reports for management review, including labor utilisation, work status, and material progress updates.
• Maintain proper filing of both hardcopy and digital documents, ensuring accuracy, traceability, and compliance with internal standards.
• Monitor material status for On-Time-Delivery (OTD) and ensure prompt issuance with accurate, timely updates in the system.

Job Description:

• Receive and manage sales orders through proper coordination with Production, Purchasing, Store, Logistics, QC and Customer Service.

• Liaise with Customer Service  and Sales to  provide 12 months SIOP (Sales, Inventory and Operations Planning) forecast if available

• Coordinate with Customer Service, Production, Buyers, NPI/Program to meet OTD, thereby, meeting the monthly revenue.

• Plan and monitor material movement in production cycles to ensure continuous operations. Drives and minimize excess and obsolete inventory.

• Maintain product and data master to support production planning and manufacturing. (e.g. Item Master, BOM)

• Re-schedule with Customer Service the Job Order due dates as required and coordinate changes with Production, Supply chain, Quality, NPI and Sales/Program. Communicate production schedule issues to Customer Service.

• Ensure steady and on-time material supply by generating Material shortage list report to Purchasing upon receiving job order from Customer Service.

• Coordinate on material pull-in and push-out and advise Purchasing of impact on critical items.

• Monitor and control long lead time parts and maintain minimum stock level of high-valued parts and safety stock to ensure on-time material supply.

• Process Non-Conforming Parts Report from Production through coordination with Store, QC and Buyer on the replacement.

• Process ECN (Engineering Change Notice), if required.

• Maintain WIP & Finish goods inventory at optimum level

• Maintain system and record accuracy e.g inventory, schedules, planned orders 

• Maintain and process Monthly KPIs for presentation to the management.

• Report to Master Planner on issues that may affect on-time shipments to customer.

• Liaise with Production on schedule priority for efficient manpower allocation.

• Other duties as and when assigned

Job Requirement:

•   Degree or diploma equivalent

• Minimum 1 to 2 years of relevant experience

• Understanding of ERP system and Microsoft Office especially Excel

• Good communication skill and able to work effectively with peers and other function teams

• Detail-oriented, ability to multi-task and prioritize tasks with strict deadlines
