Job Summary
The Operations Administrator supports daily operational functions across inventory, purchasing, logistics, sales coordination, and retail support. This role ensures smooth workflow across departments, maintains accurate documentation, and assists in optimizing operational efficiency.
Inventory Administration
Office Inventory
- Maintain accurate stock records (raw materials, traded items, packaging).
- Track incoming and outgoing inventory.
- Prepare and compile customer requirements for production.
Factory Coordination
- Prepare Job Orders based on stock levels and customer requirements.
- Coordinate raw material deliveries to the factory and communicate production details.
- Track production timelines and shipment readiness.
Purchasing
- Issue purchase orders and perform basic supplier sourcing.
- Maintain pricing lists and support procurement activities.
Logistics Coordination
- Work with 3PL partners for delivery arrangements.
- Prepare delivery documents and ensure timely dispatch of goods.
- Assist with export documentation and freight coordination.
Sales & Customer Support
- Support e‑commerce platforms (Lazada, Shopee) with listing updates.
- Process B2B customer orders and assist with customer updates.
Retail Administration
- Support stock transfers, retail manpower scheduling, and monthly sales tracking.
- Assist in product launches and coordination with contractors for outlet maintenance
- Support store operational policies and communicate updates
General Administrative Duties
- Prepare reports, documents, and operational summaries for management.
- Support HR tasks related to onboarding and SOP compliance.
- Other Ad-hoc duties as assigned
Requirements
- Prior experience in operations, logistics, supply chain, or admin roles preferred
- At least 2 years in similar role
- Minimum Diploma qualification
- Strong verbal and written communication skills
- Proficient in Microsoft Office
- Conscientious and high attention to detail
