About the Role
We are seeking a highly capable, organized, and proactive Executive Assistant to support the CEO across multiple businesses within hospitality, lifestyle, investment, and professional services sectors.
This is not a traditional administrative role. The Executive Assistant acts as the CEO’s right hand, helping to manage priorities, coordinate projects, streamline communication, and ensure effective execution across the organization.
The ideal candidate is resourceful, detail-oriented, highly confidential, commercially aware, and able to thrive in a fast-paced entrepreneurial environment.
Key Responsibilities
Executive & Administrative Support
- Manage the CEO’s calendar, appointments, meetings, and travel arrangements.
- Coordinate internal and external meetings, including preparation of agendas, presentations, and meeting materials.
- Take meeting minutes and track action items to completion.
- Screen and prioritize emails, calls, and correspondence.
- Prepare reports, presentations, and business documents on behalf of the CEO.
- Manage confidential and sensitive information with absolute discretion.
Project Management & Follow-Up
- Track key initiatives, projects, and deadlines across the Group.
- Follow up with department heads and stakeholders to ensure timely execution of action items.
- Monitor progress of strategic projects and escalate delays or issues where necessary.
- Assist in implementing systems and processes to improve organizational efficiency.
- Prepare weekly CEO dashboard and progress reports.
Business Coordination
- Liaise with internal departments including Operations, Finance, Marketing, HR, and Business Development.
- Coordinate communications between the CEO and management teams.
- Support the CEO in franchise, investment, expansion, and corporate projects.
- Assist with preparation of proposals, presentations, board papers, and investor materials.
- Conduct research and prepare briefing notes for meetings and business opportunities.
Hospitality & Operations Support
- Coordinate management meetings across venues and business units.
- Consolidate operational reports and performance metrics.
- Assist in monitoring sales performance, marketing initiatives, guest feedback, and key business KPIs.
- Support event planning, launches, corporate functions, and partnership initiatives when required.
Communication & Stakeholder Management
- Draft professional emails, letters, WhatsApp communications, and presentations.
- Act as a professional representative of the CEO when engaging stakeholders.
- Manage relationships with key vendors, partners, landlords, consultants, and service providers.
- Ensure timely follow-up on commitments made by the CEO.
Requirements
- Diploma or Degree in Business Administration, Management, Communications, Hospitality, or related disciplines.
- Minimum 3 years of Executive Assistant, Personal Assistant, Chief of Staff, Project Coordinator, or equivalent experience.
- Exceptional organizational and time management skills.
- Strong verbal and written communication skills.
- Excellent proficiency in Microsoft Office, Google Workspace, PowerPoint, Excel, and AI productivity tools.
- Ability to manage multiple priorities simultaneously.
- High level of professionalism and discretion.
Preferred
- Experience supporting C-suite executives, founders, entrepreneurs, or CEOs.
- Experience in hospitality, F&B, lifestyle, professional services, or startup environments.
- Familiarity with project management software and automation tools.
- Experience coordinating multiple business entities and stakeholders.
