Job Responsibilities

• Process work orders and follow ups.

• Coordinate with operations, sales and purchasing teams to ensure timely picking, packing, and delivery materials.

• Perform verification of picklist, prepare and manage sales-related documentation such as delivery orders (DO), invoices, packing list, and Mill Test Certificate (MTC).

• Communicate with customers/ drivers regarding order status, delivery schedules, and any discrepancies.

• Handle customer inquiries, complaints, and service issues in a professional and timely manner.

• Work closely with sales team to support quotations, order amendments, and customer requirements.

• Monitor and track deliveries, coordinating with logistics or transport providers.

• Maintain proper filing and documentation for traceability, audit purposes in additional to customer requests.

• Record daily received cash and cheque and submit to the accounting department on daily basis.

• Process employee reimbursement claims and submits to the accounting department on a monthly basis.

• Coordinate with operations teams for inventory related enquires/ processes.

• Perform receiving via PO41 after lab test requested by sales and purchasing.

• Schedule delivery routes to driver in the absence of the manager.

• Perform other ad-hoc duties assigned by superior from time to time.

Job Requirements

• Diploma or equivalent qualification in Business Administration or related field.

• Proficient in Microsoft Office with knowledge of ERP systems preferred.

• Accurate, attention to detail, meticulous, able to multitask and work under pressure to meet tight deadlines.

Job Description and Responsibilities:

Secretarial Duties

• Provide full secretarial and administrative support to management or assigned department.
• Manage calendars, schedule meetings, and arrange appointments.
• Prepare, draft, and manage correspondence, reports, and documents.
• Coordinate meetings, prepare agendas, and record meeting minutes.
• Handle incoming calls, emails, and enquiries professionally.
• Arrange travel bookings, accommodation, and logistics when required.
• Assist in preparing presentations, reports, and internal communications.
• Liaise with internal departments and external parties for coordination.
• Ensure confidential information and documents are handled with discretion.
• Perform any other secretarial duties assigned by management from time to time.

Administrative Duties

• Assist in the coordination and execution of company events and activities.
• Coordinate the requisition and procurement of stationery, pantry items, and other office supplies, manage inventory levels, and liaise with suppliers or vendors as required.
• Coordinate office maintenance, equipment servicing, and facilities management matters.
• Ensure proper record keeping and compliance with company administrative procedures.
• Perform any other administrative duties assigned by management from time to time.

Job Requirements:

• Diploma or equivalent qualification in Business Administration or related field.
• Proven experience as a secretary, administrative assistant, or similar role supporting senior management.
• Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
• Strong organisational and time-management skills.
• Good communication and interpersonal skills.
• Ability to handle confidential information with integrity.
• Ability to multitask and work independently.

Job Responsibilities

• Prepare and generate sales invoices including debit notes for intercompany transactions, scrap sales and sales commissions to agents.

• Record and post customer receipts, including cheque payments, in a timely and accurate manner.

• Generate and circulate monthly statements of accounts to customers.

• Perform reconciliation of accounts receivable balances, including realised and unrealised foreign exchange differences.

• Support month-end closing activities for Accounts Receivable.

• Manage customer credit control and collections, including monitoring outstanding balances and following up on overdue accounts to ensure timely collection.

• Handle credit insurance matters, including coordination with insurers and compliance with policy requirements.

• Process customer credit applications, perform basic credit assessments and maintain accurate customer master data in the ERP system.

• Attend to customer queries on billing and collection matters in a timely manner.

• Perform any other tasks as assigned by a superior from time to time.

Job Requirements

• Possess a Diploma in Accountancy or equivalent and at least 5 years of relevant experience.

• Proficient in Microsoft Office with knowledge of ERP systems preferred.

• Accurate, attention to detail, meticulous, able to multitask and work under pressure to meet tight deadlines.
