Job Responsibilities
- Provide secretarial and administrative support to the Executive Vice President, including calendar management, meeting coordination, travel arrangements, visitor reception, and follow-up on key matters.
- Assist the Executive Vice President in drafting, translating, compiling, reviewing, and polishing emails, official correspondence, reports, speeches, meeting materials, and other written documents in Chinese, French, and English.
- Support the Executive Vice President in internal and external communication and coordination to ensure management instructions are accurately conveyed and effectively implemented.
- Organize and coordinate senior management meetings and other important meetings, including pre-meeting preparation, agenda arrangement, minute-taking, preparation of meeting notes, and post-meeting follow-up.
- Classify, organize, monitor, and follow up on tasks assigned by the Executive Vice President, ensuring timely progress updates and proper closure of action items.
- Communicate instructions, assignments, and work requirements from the Executive Vice President to the management team and department heads, and coordinate with relevant parties to facilitate execution.
- Assist the Executive Vice President in consolidating key business information, management updates, and project progress, summarizing critical points to support management review and decision-making.
- Coordinate domestic and international business travel arrangements and, when required, accompany the Executive Vice President on global business trips, providing itinerary coordination, interpretation, and on-site support.
- Be responsible for the organization, safekeeping, circulation, and filing of confidential and sensitive documents as well as important management materials, while strictly observing confidentiality requirements.
- Properly handle ad hoc, urgent, and highly sensitive matters to ensure the efficient, orderly, and professional operation of the Executive Vice President’s office.
- Perform other related duties as may be assigned by the Executive Vice President from time to time.
Job Requirements
- Bachelor’s degree or above, preferably in Administrative Management, International Business, Business Administration, Human Resources, or related disciplines.
- Proficiency in spoken and written Chinese, English, and French is required, with the ability to use all three languages effectively for communication, coordination, translation, meeting support, and document handling in a multilingual business environment. A DALF C1 or C2 French language certificate is required.
- At least 8 years of relevant working experience, preferably in administrative support, personal assistant, executive assistant, or HR-related roles. Experience in supporting senior executives or management will be an advantage.
- Experience in cross-cultural working environments, international operations, or overseas project coordination will be an advantage.
- Willingness to travel internationally and to be deployed overseas, including Africa, based on business needs, is required.
- Strong business writing, meeting minute-taking, translation, communication, and coordination skills.
- Mature judgment, strong execution ability, and the ability to work independently in a fast-paced and demanding environment.
- High level of professionalism, confidentiality, responsibility, and attention to detail.
