We are seeking a dedicated and organized Clerical Supervisor to oversee administrative and clerical functions supporting construction projects. The successful candidate will supervise clerical staff, manage project documentation, coordinate office operations, and ensure accurate record-keeping for construction activities.
Key Responsibilities
Supervise and coordinate daily activities of clerical and administrative staff.
Maintain and organize construction project records, contracts, permits, drawings, and correspondence.
Monitor and update project documentation, reports, and filing systems.
Coordinate submission of documents to clients, consultants, contractors, and government agencies.
Track workers' records, attendance, training certificates, work permits, and related documentation.
Assist in procurement administration, including purchase orders, delivery orders, and invoices.
Prepare project progress reports, meeting minutes, and administrative summaries.
Liaise with site supervisors, project managers, subcontractors, and suppliers on administrative matters.
Ensure compliance with company policies and document control procedures.
Train and guide clerical staff to maintain efficient office operations.
Requirements
Diploma in Business Administration, Office Management, Construction Management, or a related field.
Minimum 3 years of administrative experience, preferably in the construction industry.
Experience in document control and project administration.
Proficiency in Microsoft Office applications, particularly Excel and Word.
Good knowledge of construction documentation and administrative processes.
Strong organizational, communication, and supervisory skills.
Ability to manage multiple tasks and meet deadlines.
Preferred Qualifications
Familiarity with construction industry regulations and procedures.
Experience handling foreign worker records, work permits, and site administration.
Knowledge of document management systems and project coordination processes.
