JOB OVERVIEW 

Responsible for managing end-to-end import shipment operations and customer account activities to ensure timely cargo movement, regulatory compliance, and service excellence. Customer Service & Exception Handling 

• Respond to customer inquiries and resolve shipment-related issues and complaints in a timely and professional manner. 

• Handle shipment exceptions including cargo discrepancies, short-landed cargo, damages, survey arrangements, and special transportation requirements. 

• Support urgent shipment communications with customers and origin stations outside normal office hours where required. 

Special Cargo & Compliance Management 

• Manage pharmaceutical cold chain shipments, valuable cargo, strong room storage, and escorted cargo requiring enhanced monitoring and status updates. 

• Process customer permits submitted via external forwarders by updating permit information, HS codes, descriptions, and documentation into relevant systems for submission. 

• Ensure compliance with internal and regulatory requirements throughout shipment handling. 

Billing, Customer Setup & Reporting 

• Create new customer accounts through Finance systems. 

• Generate COD invoices including GST and local handling charges for applicable customers. 

• Coordinate with Finance and SGBS teams for COD and customer creation processes. 

• Prepare and maintain customer operational reports (daily/weekly), origin discrepancy reports, and KPI reporting. 

Business Support 

• Handle SME and Connect4air quotations with origin stations and customers. 

• Support insurance application processing on behalf of customers. 

• Coordinate with IT and support teams regarding system-related issues. 

• Provide operational backup coverage during team members’ leave periods while maintaining own account responsibilities.

The role

An integral part of the Love, Bonito value chain, the Omnichannel Operations team, is responsible for coordinating and executing weekly launches, marketplace operations, item master, packing list management and inventory management. The team is also the SAP specialists within the Operations Department and is responsible for order management for local markets. You will be directly responsible for managing orders with vendors, for our country trade partners as well as packing lists to support international expansion, as well as other digital operations within the Omnichannel Operations team.

Main responsibilities :

Packing List Management

• Ensure that the information provided by suppliers in the detailed packing list is correct. Liaise with suppliers to make corrections.
• Track the performance of errors made in the detailed packing list and provide feedback to Sourcing and Production.
• Monthly reports of comparing Purchase quotation and good received to spot any discrepancies on quantities or price, sounding out issues to the production team if any.
• Maintain the repository of all detailed packing lists in a neat and organized manner.
• Create and Update purchase orders in SAP with detailed packing list information in a timely and accurate manner.

Merchandise Operations

• Preparation of order sheet in Airtable for internal country buyers and order sheet management to vendors, in a timely and accurate manner
• Preparation of order sheet for editorial orders , working with creative team and production team on submission
• Updating of launch plan in a timely and accurate manner in order to handover important information to downstream teams

Qualifications & Experience

• Diploma in Economics, Mathematics, Accounting, Business or a related field preferred and interest in backend e-commerce operations.

Job Scope:

• Support daily operations for air and sea freight shipments (import & export)

• Prepare and process shipping documents (e.g. HAWB, MAWB, Bill of Lading, manifests, pre-alerts)

• Assist with customs declarations and TradeNet submissions

• Perform system data entry and maintain accurate shipment records

• Coordinate with stakeholders such as airlines, shipping lines, forwarders, and customers

• Monitor shipment status and follow up on schedules and bookings

• Assist in handling enquiries, issues, and basic dispute resolution

• Perform ad-hoc duties as assigned

Requirements:

• Minimum 1 – 2 years of experience in Freight Forwarding / Logistics

• Exposure to Air and Sea Freight operations

• Basic knowledge of shipping documents and customs processes

• Familiarity with TradeNet is an advantage

• Able to work in a fast-paced environment

• Good coordination and communication skills

• Willing to learn and take on new responsibilities
