Regulatory Management

Timely manage regulatory changes, updates and obligations such as gap analysis, update policies and procedures to ensure timely implementation and compliance and perform an annual review of relevant policies & procedures.

AML/CFT

Fulfil AML/CFT role and responsibilities in accordance with Group AML/CFT Policy, ensuring timely turnaround for onboarding, periodic reviews, ad-hoc KYC reviews are timely completed, effective transaction monitoring reviews, comprehensive investigation and assessment, timely escalation/reporting with due actions taken on suspicious transactions/activities, incident reporting, exceptional handling applications.

Enterprise-Wide Risk Assessment

Support relevant offices with the annual review of ML/TF Risk Assessment Methodology, periodic EWRA exercise, analysis, risk treatment actions plans and narrative reporting to the Board and Senior Management.

FATCA & CRS

Ensure timely compliance of all FATCA and CRS requirements and obligations for the relevant operating entities and client entities, provide advisory, ensure accurate classification and identification including self-certification of reportable accounts; registration as necessary; reporting of reportable accounts; sampling checks and rectification of deficiencies; and submission of concise progress updates to stakeholders on a regular basis.

Personal Data Protection

Support relevant offices to comply with internal policies and procedural requirements, provide training to staff, undertake periodic compliance monitoring and reviews as the second line of defence, and provide advisory on control procedures and enhancements.

Create ongoing risk awareness/education and training for staff, improve documentation in accordance with internal Guidelines on Documentation and Minutes.

Compliance monitoring & thematic reviews

As a second line of defence function, perform compliance monitoring and thematic reviews as directed by the Director, Group Compliance and/or Board and Senior Management of relevant offices, provide reports of observations, findings and recommendation.

Management Information Reporting

Timely provide accurate and concise progress updates via MI Reporting (including detailed data tracking) to stakeholders monthly.

Regulatory & Audit

Support with all aspects of regulatory, audit and independent review related communications, requests, inspections, process and ensure all information is timely provided, accurate, complete and appropriate. Support the first line of defence, Board and Senior Management with all related deliverables including remedial actions, risk management actions and enhancement to control framework in a comprehensive manner and to stipulated deadlines. Closely and effectively track and monitor the progress of the abovementioned deliverables and provide timely reporting to stakeholders until the successful completion.

Ad hoc Group Projects

Participate in other ad hoc Group Compliance projects as determined by the Head of Group Compliance.

Requirements

4 to 6 years relevant compliance experiences in financial institutions, preferably from private banking and trustee companies’ environments. Strong understanding of client due diligence and SOW/SOF corroboration. Confident communicator and ability to partner with business with business and senior stakeholders

Job Summary:
The role is responsible for managing compliance controls, financial planning, people administration, procurement, and premises management to ensure smooth operations and adherence to organizational standards.

Key Responsibilities

Controls & Compliance

• Perform control testing, document results, and update outcomes in GRC.

• Conduct independent reviews of Line Managers’ Excessive Access reports and maintain audit evidence.

• Escalate delayed reviews to Division Head to prevent unauthorized system access.

Financial Management

• Prepare annual budgets and year-end accrual plans for operating expenses.

• Develop monthly budget reports and update forecasts.

• Perform headcount reconciliation and monitor Staff Engagement Fund, training, travel, and transport expenses.

• Review monthly forecasts and process AP invoices, including submission of parked vendor invoices and ensuring online approvals.

People Administration

• Manage onboarding: arrange computer setup, apply office access, and update distribution lists.

• Handle offboarding and transfers: ensure return of assets, terminate access, and removal of roles

• Organize monthly People meetings, document minutes, and follow up on actions.

• Maintain accurate organization charts and resolve administrative concerns promptly.

Procurement & Expense Tracking

• Create purchase requisitions for office supplies, PCs, accessories, and services.

• Perform goods receipt for delivered items and services.

• Submit parked vendor invoices and ensure timely approvals.

• Track departmental expenses.

Fixed Assets & Inventory

• Maintain and update fixed assets listing; ensure proper recording and tracking.

• Write off obsolete assets and participate in annual verification exercises.

Manage inventory levels for office supplies and maintain archival records.

• Coordinate Annual Recertification Exercises and maintain Business Role Matrix

Business Continuity & Risk

• Act as Business Continuity Management (BCM) Champion: assist in business impact analysis and Business Continuity Process (BCP) completion, conduct BCM awareness training, and coordinate call tree exercises.

Premises Management

• Serve as BU admin and primary contact for premises-related information and maintenance.

• Collaborate with Service Ambassadors for proper upkeep of office facilities.

• Monitor user access reports to ensure only authorized individuals have office access.

Job requirement:

• Good interpersonal, written, and communication skills with attention to detail.

• Ability to multi-task and manage work tasks with numerous stakeholders, as well as deliver results within tight timelines

Job Requirements

• Recognized bachelor degree or above, preferably in Business or related discipline
• At least 5 years of relevant experience in a regulatory compliance role.
• Experience in SFA/FAA advisory
• Performed compliance review/compliance testing such as Balanced Scorecard Review, Private Banking Sales Advisory Review, Continuing Professional Development review, Fit and Proper Review etc. or Due Diligence for New Product onboarding/Product variation of existing products
• Working Knowledge of Banking Act would be an advantageous
• Proficiency in English & Mandarin to liaise with English & Mandarin speaking internal/external stakeholders
• Strong knowledge in local rules and regulations
• Good interpersonal skills to handle stakeholders across multiple departments
