Reception
• Ensuring the reception desk is maintained to the highest possible standard.
• Providing front desk/reception support – being the face of the company to employees and visitors engaging them and supporting with their needs in a friendly and professional manner.
• Ensure the reception desk and phones are always manned during office hours.
• Coordinating deliveries for both incoming and outgoing courier and mails. Attend to users’ queries (e.g. new user set-up etc.) and provide the necessary assistance.
• Provide assistance to book meeting rooms and resolve any meeting room scheduling conflicts that arises.
• Maintaining and updating phone directories and cross check contact details (correct cost center) with KL Hub.
• Well versed with general enquiries eg. how to contact the hosts, office facilities enquiries, business enquiries etc
• Products enquiry – search for products from intranet/ BU admins and forward to relevant personnel.
Workplace Administration
• Provide a first line of contact for FM department to both internal and external people.
• Maintaining visitor sign-in process including issuing access card to employees, vendors, contractors, etc.
• Managing the door access control system – issuing, canceling and monitoring the access record and reporting any issues and/or abnormalities.
• Maintain the office supplies for the department and initiate replenishment when necessary.
• Processing all invoices / SOA to Global Finance and raising all PRs for the assigned services
• Assist the FM Manager to review and make suggestion(s)/recommendation(s) contract, price and supplier by exploring options to get the best value, quality and service.
• Support the EHS as a certified first aider and fire warden of the department.
• Provide general administrative support and assistance to the FM team and staff.
• Any other tasks and/or ad-hoc projects/assignments as assigned by FM Manager.
• Assist in the registration of iLobby – to assist employees and visitors.
• Support other BUs to raise PR eg. Stationery order, name cards etc.
• E-file documents / information in SharePoint.
• New hire photo id stickers - liaise with printer for artwork and collection.
• Setup and re-instate of meeting room, including testing of camera, audio and display of the TV in the meeting room.
