Duties and Responsibilities

We are seeking for an organised and proactive Office Administrator to join our team. Reporting to the Senior Manager, HR, the Office Administrator will be responsible for providing administrative support and ensures smooth administrative processes and maintaining a clean, efficient and welcoming office environment. The Office Administrator will also play a key role in coordinating employee training and development initiatives as well as organising team bonding activities to foster a positive and collaborative workplace culture.

Administrative Support

· Manage office supplies, equipment, insurance and vendor relationships.

· Manage phone calls and correspondence (e-mail, letters, packages (in/out) etc.)

· Maintain digital and physical filing of documents

· Support HR admin and simple bookkeeping procedures

· Create and update records and databases with personnel, financial and other data

· Manage provision/vouchers collection for clients

· Submit timely reports and prepare presentations/proposals as assigned

Office Management

· Manage office supplies, equipment, insurance and vendor relationships

· Ensure the office environment is clean, safe, and well-maintained, including coordination with office sanitation service providers

· Monitor and maintain office cleanliness standards and hygiene protocols

Human Resources & Staff Development

· Coordinate onboarding processes for new hires

· Organise and track employee training and development programmes, including workshops, seminars, and online courses

· Maintain training records and assist in evaluating training effectiveness

· Organise team bonding activities for staff

Event & Logistics Coordination

· Coordinate logistics for events, workshops, and outreach activities, as assigned

· Liaise with external vendors and partners for event support, when necessary

Compliance & Policy

· Ensure compliance with organisational policies and relevant regulations

· Handle ad-hoc administrative duties as assigned

Requirements:

· Minimum Nitec Certificate in services

· Candidates must have at least one year working experience with relevant in office administration in an office setting

· Positive attitude, independent but a good team player

· Proficient in Microsoft Office (Word, Excel and Power Point)

· Ability to prioritise urgent and important tasks

Job Description:

Role Purpose

The Senior Executive/ Executive, Community Engagement & Volunteer Management will play a pivotal role in building and nurturing partnerships to support caregivers’ and seniors’ needs. This position focuses on fostering collaborations across the aged care and social service sectors, enhancing caregiver support programmes, and driving impactful community initiatives. The role also encompasses the development and management of volunteer engagement efforts, including mobilising corporates, members of the public, schools, and students to support programmes and strengthen community involvement in caregiving and senior care.

Key Responsibilities

1. Partnership Development

• Identify, engage, and sustain partnerships with sector stakeholders, including healthcare institutions, community organizations, corporates, and government agencies.
• Collaborate with partners to co-develop programmes, services, and initiatives tailored to the needs of caregivers and seniors.
• Develop partnership agreements and monitor partnership performance to ensure alignment with organizational goals.

2. Caregiver Support Program Initiatives

• Lead or support the design, execution, and evaluation of programmes that address the practical, emotional, and informational needs of caregivers.
• Work closely with caregivers and sector partners to gather feedback and identify gaps in support services.

3. Community Outreach, Engagement & Volunteer Management

• Plan and execute outreach events, workshops, and forums/talks to raise awareness of caregiver support and CWA’s role.
• Develop communication materials to engage stakeholders effectively.
• Establish and manage a volunteer engagement framework by mobilising corporates, members of the public, schools, and students to support programmes, events, and caregiver/senior-focus initiatives.
• Oversee volunteer recruitment, onboarding, coordination, and retention to ensure meaningful and sustainable participation.

4. Research and Advocacy

• Stay informed about trends, policies, and innovations in aged care and caregiving.
• Contribute to research projects and position papers advocating for improved caregiver support and services.

5. Stakeholder Relationship Management

• Act as the primary liaison between CWA and its partners, ensuring strong, productive relationships.
• Represent CWA at external meetings, networking sessions, and sectoral forums.

Requirements

Education and Experience

• Diploma or Bachelor’s degree in Business, Social Work, Healthcare Management, Public Relations, or a related field.
• At least 2–3years of relevant experience in community engagement, partnerships, programme or volunteer management within the social service, healthcare, or nonprofit sectors. Fresh graduates or candidates with relevant internship or volunteer experience may also be considered for an Executive role.

Skills and Competencies

• Strong interpersonal and relationship-building skills with diverse stakeholders.
• Excellent project management skills, with an ability to manage multiple priorities.
• Proficiency in written and oral communication, including presentation skills.
• Ability to work collaboratively in a cross-functional team environment.
• Knowledge of aged care, caregiving challenges, and community engagement strategies.

Role
The Administrative & Client Support is responsible for supporting the day-to-day administrative and operational functions of the Home Personal Care service. This includes assisting with documentation, client follow-ups, service quality monitoring, and coordination with caregivers and the clinical team. The role requires strong organisational and communication skills to ensure accurate records, smooth coordination, and continued client satisfaction.

Key Responsibilities

Operational & Administrative Support

• Perform data entry and ensure timely updating of records, trackers, and Case Management System (CMS)
• Assist with filing and organisation of documents in both digital and physical formats
• Support routine communications and follow-ups with caregivers as instructed

Client Relationship Management

• Conduct phone calls to existing clients to check on their well-being, service progress, and quality of care delivered under CWA
• Gather feedback and highlight any concerns or service gaps for follow-up
• Support 6-monthly check-ins and reassessments of existing clients in coordination with assigned caregivers

Service Support & Quality Monitoring

• Assist in monitoring service delivery and ensuring proper documentation of client interactions
• When required, carry out home visitations together with the clinical team to provide support such as supervision and on-ground assistance

• Any other duties that may be assigned from time to time

Requirements and Qualifications

·      Minimum Diploma in Business Administration, Healthcare Management, or equivalent. 

·      Relevant certifications in community care oradministrative management are an advantage.

·      At least 1 year of experience inadministrative or operations roles, preferably in community care, healthcare,or social service sectors. (Fresh graduates are welcome to apply).

·      Proficient in Microsoft Office (Excel, Word, Outlook) and comfortable with database systems.

·      Good communication and interpersonal skills.

Role Overview

The Community Caregiver provides essential care and support to homebound seniors within the community. This role focuses on enhancing clients’ quality of life by assisting with daily living activities, promoting independence, and offering companionship in a safe and respectful manner.

·      Assist clients with personal care, including bathing, changing of diapers and hygiene

·      Support safe lifting and transferring of clients (e.g., bed to wheelchair)

·      Engage clients in mind-stimulating and recreational activities

·      Provide companionship and emotional support

·      Provide medication reminders

·      Assist with feeding, eating, and drinking

·      Perform light housekeeping

·      Support grocery shopping and errands

Requirements:
No prior experience required — training will be provided

Minimum PSLE qualification pr WSQ Certificate/Higher Certificate or equivalent

Compassionate, patient, and responsible with a positive attitude

Willing to work in a home-based setting

Flexible working hours, including weekends if required
