A. PRIMARY JOB PURPOSE

Reporting to the Executive Director and working closely with the Assistant Director (Content, Membership and Special Projects), the Facilities & Admin Assistant Manager / Manager oversees the planning, coordination and management of facilities, administrative operations, membership support, and legacy initiatives within Singapore Aquatics (SAQ).

This role ensures efficient facilities utilisation, smooth execution of travel and administrative processes, strong stakeholder engagement, and the development of SAQ’s legacy, alumni and historical records.

B. JOB RESPONSIBILITIES

1. Facilities Administration

• Oversee booking of OCBC Aquatic Centre and SportSG facilities for training, events and programmes
• Manage facilities scheduling, including deconfliction of schedules
• Be the main point of contact to liaise with clubs, facility managers and stakeholders on all facilities matters
• Prepare and manage displacement plans for training, events and programmes
• Manage facilities protocols for the National Training Centre, including access and usage
• Monitor facilities budget and track monthly usage
• Prepare annual facilities utilisation plans and forecasts in consultation with disciplines and events team
• Liaise with SportSG on matters relating to invoicing and billing

2. Travel Administration

• Oversee and coordinate all travel, accommodation and insurance arrangements for national teams
• Be the main point of contact with travel agents/service providers
• Ensure all travel arrangements are in line with SAQ’s policies and processes
• Manage and resolve travel-related issues when required

3. Administrative Responsibilities

• Provide secretariat support for Annual General Meetings and Executive Committee Meetings, including minutes taking
• Oversee general administrative processes and ensure proper documentation and record keeping
• Ensure documentation of deliveries matches request specifications
• Identify and report shortages, damages and discrepancies in deliveries
• Oversee inventory management, including stock tracking, withdrawals and periodic physical stock counts
• Work with Finance to ensure accuracy of asset records and inventory control
• Support office administration, including liaising with vendors, landlords and service providers
• Perform ad hoc duties when assigned

4. Membership Responsibilities

• Oversee and ensure that members’ details in the membership platform are accurate and up to date
• Support administration and maintenance of the membership database
• Provide guidance to users of the membership platform
• Work with disciplines and internal teams to support membership engagement initiatives
• Support dissemination of information to affiliates and stakeholders

5. Legacy Responsibilities

• Support the Legacy Council as secretariat
• Oversee data collation and maintenance of legacy records
• Support alumni engagement and community building initiatives
• Support development of Hall of Fame and related initiatives
• Work with Marketing and Communications on legacy-related content, including website and collaterals

6. Others

• Keep abreast of all activities in the SAQ calendar and support updates to relevant platforms

C. REQUIREMENTS & SKILLS

• At least 4–6 years of relevant working experience (more for Manager position)
• Candidate must possess at least a Diploma/Degree in Business Administration, Sports Management or related fields

• Experience in stakeholder management and coordination across multiple parties
• Meticulous with strong organisational and data management skills

The Role

This position will be responsible to provide technical support, solutioning, industry knowledge for tasks assigned in the technical services section within Group Property Management (GPM). Job Responsibilities

• Provide expertise advice to the local team in solving critical structural or mechanical issues

Job Requirements

• At least 10 years of relevant experiences in building facilities management, project management and integrated fitting out works

• Budgeting: Manage the maintenance budget, tracking expenses for repairs, spare parts, and utilities while identifying cost-saving opportunities through energy efficiency.

Ad Hoc Tasks

• Crisis Intervention: Manage "on-call" emergency repairs during live events, such as power outages, leaks, or structural hazards.

• Project Management: Lead minor renovation projects, such as floor resurfacing, soundproofing upgrades, or bar counter refurbishments.

• Logistics Support: Assist in the setup and teardown of large-scale seasonal decorations or temporary outdoor installations.

• Safety Training: Conduct basic safety briefings for floor staff regarding the use of ladders, fire extinguishers, and emergency exit protocols.

Requirements

• Experience: Minimum 3–5 years of experience in facilities management, preferably in the hospitality, entertainment, or F&B industry.

• Technical Knowledge: Strong understanding of electrical wiring, plumbing, and general carpentry. Familiarity with commercial HVAC systems is a plus.

• Regulatory Awareness: Knowledge of local workplace safety and health (WSH) standards and fire safety manager (FSM) requirements.

• Availability: Ability to work flexible hours, including weekends or late nights, to oversee repairs during non-operational hours.

• Physical Stamina: Ability to navigate tight spaces (crawl spaces/ceiling voids) and perform physical labor as required.

Job Description:

• Conduct feasibility studies of prospective projects to evaluate profitability and sustainability of production operations
• Design manufacturing plans for machining, forming, joining and other relevant processes based on project requirements
• Determine additional infrastructure requirements to support manufacturing and production requirements
• Oversee production timelines against production status reports
• Approve production strategies proposed by team members after evaluating budgets and resources
• Verify feasibility of design specifications for equipment installation locations and set-ups
• Review vibration analysis, thermal analysis and other performance test results to confirm installation techniques
• Strategise appropriate launching methods for ships
• Verify acceptability of ballast tank conditions prior to launch
• Produce keel laying plan for launch
• Take stock of individual machinery, equipment and system status on board ships and/or rigs prior to launch
• Prepare emergency response procedures for launch failures
• Verify commissioning requirements proposed by team members
• Review commissioning test results
• Manage a team of production engineers
• Evaluate results from market research and propose implementation of best practices in manufacturing
• Design equipment coding standards for organisation in liaison with quality department
• Approve deployment of new technologies for relevant manufacturing processes after evaluating budgets and skills on hand
• Manage department's compliance to risk management framework policies and processes
• Analyse viability of workplace improvements and change management initiatives

Requirement:

• Experience in ship repair / marine industry with team management experience.
• Relevant Diploma / Degree in Engineering or Marine-related field preferred.
• Familiar with safety and compliance procedures in shipyard operations.
