A DAY IN A LIFE

As a startup, you can expect your days to be pretty varied. Multitasking is normal, and sometimes, your skills or natural talents will be leveraged to support other business priorities. That said, the bulk of your working hours should involve you having to:

1. Leadership & Collaboration

• Team Development: Lead the recruitment of a team of Pricing Analysts/Executives and train a motivated team to coordinate pricing strategy and execution
• Stakeholder Management: Chair coordination with Finance to ensure that pricing strategy is reflected in the P&L. Promote a collaborative environment between cross-functions (products, system, finance and key account management teams) that help resolve daily issues

2. Yield Performance 

• Weekly Forecasting: Evaluate sales forecast data , generate and present weekly yield forecasts, and identify trends, risks, and opportunities for revenue growth.
• Performance Analysis: Monitor the variance between targeted vs. achieved yield and implement corrective pricing actions where necessary.
• Yield Strategy: Develop high-quality, simple, but consistent processes to ensure revenue is maximized with a similar pricing strategy for all agents and partners.

3. Revenue Integrity & AWB Governance

• Verification & Audit: Lead the systematic audit of Air Waybills (AWB) to ensure shipments are captured at the correct rates and surcharges.
• Reprocessing: Manage the team’s workflow for reprocessing incorrectly rated shipments, ensuring revenue recovery and preventing billing disputes.
• Root Cause Mitigation: Work with cross-functional teams (CTOs, system, and finance) to identify why rating errors occur and implement system-level fixes.

4. Ancillary & Cost-Linked Pricing (Other Charges)

• Surcharge Management: Manage and update all "Other Charges" (Fuel Surcharges, Security, Terminal Handling, etc.) across the network.
• Cost-to-Price Synchronization: Monitor underlying cost changes (vendor increases, fuel fluctuations, or regulatory fees) and ensure these are timely adjusted within "Other Charges" to protect net margins.
• Ancillary Revenue Growth: Identify opportunities to introduce or optimize service-based charges to enhance total revenue per shipment.

5. Rate Lifecycle & System Integrity

• Agile Rate Updates: Oversee a team of Pricing Executives in loading and updating Contractual, Published, and Market rates in the core system with 100% accuracy.
• Market Benchmarking: Periodically review and adjust published rates to ensure Teleport remains competitive and aligned with current market demand and capacity shifts.
• System Efficiency: Work with finance and tech partners to streamline reporting and develop automated forecasting tools to increase productivity.

A DAY IN A LIFE

Key Responsibilities

• To analyze data and internal operations flow to provide accurate commercial-related reports for internal and external use.
• Manage and ensure high quality of content, presentations, and communications issued to customers, including but not limited to SLA reports, Monthly Business Reviews (MBRs), business performance updates, and other commercial reports.
• To review internal systems and processes for the development of automation and reporting solutions to support daily operational and commercial analysis, including tracking and reporting for SLA performance, rejection records, re-planned MAWBs, and other key operational metrics.
• Analyze load factor performance and utilization trends to identify opportunities for capacity optimization and support commercial decision-making.
• Support route planning and commercial evaluation for new sectors and network expansion opportunities, including exports from JHB, PEN, and other stations.
• Develop, maintain, and enhance dashboards and reporting tools for monitoring and optimization of business performance, including but not limited to rejection rate, load factor, parcel profile, service performance  and other operational KPIs.
• Support the implementation and monitoring of sales excellence initiatives
• Develop and support project plans, timelines, and budgets to ensure successful execution of commercial and operational initiatives.
• Ensure that project outcomes meet quality standards and align with business objectives.
• Coordinate cross-functional stakeholders to support the execution of commercial, operational, and process improvement initiatives.
• Conduct project post-mortems and performance reviews to identify lessons learned, operational efficiencies, and opportunities for continuous improvement.
• Maintain data integrity, reporting accuracy, and governance standards across all commercial performance, reporting, and sales excellence activities.

• Project management experience - preferable to have worked in an commercial 
• Minimum 5+ years experience working in Commercial department
• Ideally experience in SEA region 
• Preferable but not essential operational/ logistics / E-commerce experience

About the role
The HR Operations Specialist ensures efficient, compliant and high quality delivery of HR services across the employee lifecycle in several countries in the region. This role plays a key part in maintaining HR systems and data integrity, administration and ensuring smooth onboarding and leaver processes. The role also includes responsibility for general office administration in Malaysia office.

Key Accountabilities

HR Systems & Reporting

• Maintain accurate and up-to-date employee records, ensuring HR systems reflect current employee data and status.
• Provide guidance to employees and managers on HR system processes, including Employee and Manager Self-Service, and act as the key point of contact for system-related queries and issue resolution.
• Prepare and maintain organisational charts for audit and business purposes, ensuring regular updates to shared platforms.
• Collaborate with regional and global HR stakeholders to ensure consistency, accuracy, and timely filing of employee documentation within central HR systems and repositories.
• Identify opportunities for process automation to improve data accuracy and operational efficiency.
• Maintain employee personal files with up-to-date records for easy retrieval and compliance purposes.
• Preparing monthly headcount reports as requested
• Building SOP for HR processes for the JAPAC region.
• Support audits and data reporting requirements
• Identify process gaps and support continuous improvement initiatives and support system testing, data uploads, and reporting

Onboarding

• Manage end-to-end onboarding activities for new hires, including preparation of employment contracts and ensuring compliance with recruitment and employment standards.
• Coordinate induction activities and work with line managers and assigned buddies to support smooth integration of new employees.
• Administer probation processes by tracking review timelines, supporting managers, and issuing confirmation letters and related documentation.
• Prepare employment contracts and formal documentation related to changes in terms and conditions, ensuring compliance with internal policies and approval workflows.
• Liaise with external benefits providers to manage employee benefit enrolments and changes, ensuring a positive employee experience.
• Maintain and update HR documentation, including policies, procedures, templates, and forms, ensuring alignment with business requirements and applicable employment legislation.

Leavers & Offboarding

• Ensure resignations are acknowledged promptly and guide line managers through the leaver process.
• Coordinate final pay calculations in accordance with employment terms and payroll schedules.
• Facilitate exit interviews, compile insights, and share trend analysis with HR stakeholders to support continuous improvement initiatives.

Office Administration

• Manage general office administration and coordination activities.
• Support scheduling, meetings, and calendar coordination.
• Manage office supplies, vendor relationships, and facilities-related requests.
• Provide administrative support for HR and office operations, including invoices, claims, and data entry.
• Deliver ad-hoc administrative support to management and teams as required.

• Degree or Diploma in Human Resources, Business Administration, or a related discipline.
• Experience using HR Information Systems (HRIS) is highly desirable.
• Ability to work independently, take initiative, and adapt quickly in a dynamic environment.
• Strong capability to manage multiple priorities and meet tight deadlines with high attention to detail.
• High level of professionalism, discretion, and integrity when handling confidential and sensitive information.
• Strong organisational and communication skills with a service-oriented mindset.

• Sales order processing and maintenance including debit note, credit note and credit returns without errors.
• Monitor and regular follow up on outstanding open orders.
• Down payment and shipping invoices creation (Excel/SAP).
• Liaise with LOG/Warehouse/Purchasing to ensure on time delivery to customers.
• Coordinate with LOG/Warehouse for delivery of customers’ orders.
• Provide pro-active information to customers and sales regarding delivery status of customers’ orders, especially orders which are delayed from plant.
• Update and upload invoice to selected customers’ web portal ie: TNB.
• Upload returned signed delivery notes from customer into SAP.
• Packing Lists preparation for project pending for deliveries.
• Update SOM tracking sheet with information of order confirmation from supplier, ETA DCMY and ETD customers.
• Regular update of customer requested date in SAP sales order.
• Ensure on time delivery to customer based on request date.
• Additional tasks to support SOM department assigned by Manager.
