Role Summary
This role supports the planning, coordination, and deliveryof programmes and events by managing operations, logistics, systems, andpost-programme reporting. The role works closely with internal teams, externalpartners, and facilitators to ensure programmes are executed smoothly andefficiently from start to finish.
Collaboration
- Works closely with internal programme, finance, and operations teams
- Coordinates with external partners, vendors, and facilitators
- Supports trainers and facilitators with logistics, access, and materials
- Acts as a key coordination point to ensure information flows accurately and on time
KeyResponsibilities
1. ProgrammeCoordination & Operations
·      Coordinate end-to-end programme administration (workshops, webinars,events)
·      Manage scheduling, logistics, venues, materials, and facilitatorcoordination
·      Liaise with internal teams, partners, and vendors to support delivery
2. Participant Management & Systems
·      Manage registrations, attendance, and participant communications
·      Set up and maintain events across digital platforms
·      Handle certifications, feedback, and tracking tools (e.g. QR codes,links)
3. Finance,Documentation & Reporting
·      Prepare delivery orders, invoicing, and billing with Finance
·      Track programme metrics and utilisation
·      Consolidate survey data and prepare reports
4. Data & Administrative Support
·      Manage forms, digital records, and programme documentation
·      Support content preparation and system migration (e.g. Google Forms toM365)
5. Office Management
·      Oversee office operations, facilities, and vendor management, includingmaintenance, procurement and inventory
·      Liaise with landlords, building management, andservice providers to ensure smooth operations.
·      Support ad-hoc administrative and operational tasks as assigned, in line with organisational needs.
Requirements
Education &Experience
·      Diploma or Bachelor’s degree in Business Administration, EventsManagement, Communications, or related field
·      1–3 years of experience in programme coordination, events, oradministrative operations (fresh graduates with relevant experience may beconsidered)
Skills &Competencies
·      Strong organisational and coordination skills with attention to detail
·      Ability to manage multiple tasks and timelines in a fast-pacedenvironment
·      Good communication and stakeholder management skills
·      Proficient in Microsoft Office (Excel, PowerPoint, Outlook) and digitaltools/platforms
·      Comfortable working with data, forms, and systems (e.g. event platforms,tracking tools)
