The Assistant Production Manager supports the Production Manager in overseeing day-to-day operations within the Central Kitchen (CK), ensuring consistent product quality, efficient workflows, and strong operational discipline across all production lines.This role is both hands-on and systems-oriented — combining direct involvement in production with responsibility for strengthening the operational backbone of the kitchen, including SOPs, training structures, audit frameworks, and quality control systems.Working closely with the Production Manager, this role plays a key part in building a scalable, well-run production environment that supports business growth, new product development, and operational excellence.

Key Responsibilities

1. Production Operations & Team Support

● Support the Production Manager in managing the pastry, décor, and bread production teams on a day-to-day basis

● Work alongside the team on the production floor when required to ensure smooth execution and adherence to standards

● Assist in coordinating production schedules to meet daily, weekly, and seasonal order requirements

● Ensure workflows are followed accurately and consistently across all production lines

● Provide on-the-ground support to troubleshoot operational issues and bottlenecks

2. Operational Systems & Framework Development

● Support the development, documentation, and maintenance of Standard Operating Procedures (SOPs) across all production functions

● Assist in establishing and maintaining structured training programmes for production staff

● Support the implementation of audit frameworks to ensure compliance with operational and hygiene standards

● Contribute to building and maintaining a robust Quality Control (QC) programme to ensure product consistency

● Continuously identify opportunities to improve systems, workflows, and operational efficiency

3. Quality Control, Hygiene & Compliance

● Support the Production Manager in maintaining high standards of product quality and consistency

● Ensure all production activities comply with SFA regulations and internal hygiene standards

●Assist in monitoring QC checks, identifying issues, and implementing corrective actions

● Maintain proper documentation for audits, temperature logs, and hygiene records

● Reinforce a culture of accountability and attention to detail within the team4. New Product Development Support

● Assist in the execution and rollout of new products from development to production

● Support trial runs, documentation of processes, and implementation of new workflows

● Assist in preparing for product launches, including training support and operational readiness

5. Inventory, Procurement & Kitchen Operations

● Support inventory management processes, including stock tracking, usage monitoring, and minimising wastage

● Assist in procurement coordination to ensure timely availability of raw materials

● Work with the Production Manager to ensure efficient use of resources (ingredients, equipment, manpower)

● Support improvements in kitchen organisation, storage systems, and operational flow

6. Order Fulfilment & Packing Operations (Central Kitchen)

● Support the CK Operations Team in developing and implementing structured order fulfilment and packing processes

● Assist in establishing workflows where production and packing responsibilities may be shared (e.g. night bread team)

● Oversee the execution of packing standards to ensure accuracy, quality, and timelines of orders

● Ensure clear accountability and coordination between production and packing teams

● Contribute to building scalable fulfilment systems to support business growth7. Reporting & Continuous Improvement

● Support tracking of key operational metrics (e.g. production accuracy, wastage, efficiency)

● Assist in maintaining production records and operational reports

● Proactively identify gaps and recommend improvements in processes, systems, or workflows

Qualifications & Skills

● Diploma or Degree in Culinary Arts, Food Technology, Operations, or related field (orequivalent experience)

● 3–6 years of experience in bakery, pastry, or food production environments, preferably in a central kitchen

● Strong foundational knowledge of production processes (pastry, bread, or related categories)

● Demonstrated ability to balance hands-on execution with structured, systems thinking

● Detail-oriented with a strong sense of operational discipline and organisation

● Ability to work in a fast-paced environment and manage multiple priorities

● Good communication skills and ability to work collaboratively across teams

As the AI & Digital Initiatives Manager, you will play a central role in driving the execution of technology-enabled initiatives across Plain Vanilla’s operations. This includes projects spanning customer experience, loyalty, sales operations, and internal tools that support team effectiveness and engagement.

This is a hands-on, execution-focused role. You will work closely with the CEO, leadership team, and cross-functional stakeholders to translate business priorities into practical, scalable solutions. You will be responsible for taking initiatives from concept through to implementation, ensuring that systems and workflows are effectively deployed in real operational environments.

Success in this role will be measured by your ability to deliver well-executed solutions that improve efficiency, enhance customer and team experience, and create measurable impact across the business.

Key Job Duties and Responsibilities

1. AI & Digital Project Execution

• Lead end-to-end implementation of AI and digital initiatives across the business, including:
  
• In-store customer experience tools (e.g. AI-assisted service flows)
• Loyalty programme enhancements
• Sales and order management process improvements

Internal tools for employee engagement and communication


• Translate business needs into clear project scopes, workflows, and system requirements
• Deliver practical, working solutions through rapid prototyping, testing, and iteration

• Act as the central project owner across Operations, Sales, Brand, and external partners
• Align stakeholders on scope, timelines, and deliverables
• Drive momentum and ensure projects are delivered on time and to standard

2. System Design & Implementation

• Identify and evaluate tools, platforms, and AI solutions suitable for the business taking into account project budgets, including setting up integrations between systems (e.g. POS, Shopify, CRM, messaging tools)
• Configure and implement tools (e.g. no-code / low-code platforms, automation tools, AI workflows)
• Where required, work with developers or vendors to build custom solutions

3. Process Improvement & Automation

• Map current workflows and identify inefficiencies
• Design and implement improved processes using automation and AI

• Reduce manual work and improve speed, accuracy, and consistency

4. Testing, Rollout & Adoption

• Run pilots and test new tools in real operational environments

Qualifications & Experience

• Bachelor’s degree in Computer Science / Information Systems, Business Analytics / Data Science, Engineering, or a related field.

• 3–6 years of experience in:
  
• Product, operations, consulting, or project management roles

Ideally within startups, tech-enabled businesses, or operationally complex environments


• Strong project management skills with a track record of delivering initiatives end-to-end
• High level of ownership and ability to drive execution independently

• Familiarity with AI tools and workflows (e.g. ChatGPT, automation tools, AI APIs)
• Experience with no-code / low-code tools (e.g. Zapier, Make, Airtable, Notion, etc.) is highly advantageous
  
• Basic technical literacy:
• Able to understand system architecture and workflows

As Product & Campaigns Lead, you will play a key role in supporting the development and execution of Plain Vanilla’s seasonal bakes product campaigns. Reporting to the CEO with secondary reporting lines to the Product Strategist, you will oversee product research, costing, pricing proposals, and documentation to ensure that seasonal launches are commercially viable, operationally feasible, and aligned with the brand’s direction.

You will serve as the main coordinator between the CEO, Brand Team, and Production Team to translate campaign briefs into clear product requirements and guide the development of flavours, decoration styles, and packaging approaches for seasonal baked products. You will also ensure that campaign products meet the Brand brief and CEO expectations prior to launch.

You will maintain accurate product information across seasonal campaign decks and other key product references, and act as the primary point of contact for product clarifications for the online, store, and operations teams.

You will also support campaign execution through product trend research, sourcing of product appropriate packaging, procurement of specialist production items, and coordination with the Product Strategist on PV Foods forecasting and packaging research where required.

Key Job Duties and Responsibilities

1. Seasonal Campaign Product Development

• Conduct research on product trends, including flavours, formats, decoration styles, and presentation.
• Develop seasonal baked product proposals aligned with campaign themes and brand direction, upholding at all times the brand’s philosophy and guidelines on baked goods
• Research and propose commercially-sound and brand-aligned flavour combinations, decorations, and packaging approaches for campaign products, taking direction from CEO and Brand Team
• Assist the Brand Team in product research and proposals for new product categories where required.

2. Product Costing & Pricing

• Prepare product costing calculations for seasonal baked products.
• Develop pricing proposals based on costing analysis and commercial considerations.
• Support leadership review with pricing recommendations for campaign products.

3. Product Documentation & Information Management

• Compile and maintain product documentation, including costing and recipes where required.
• Support the ownership and timely upkeep of seasonal campaign decks, ensuring product information is accurate and complete.
• Maintain key product references used across teams (recipes, product specifications, ingredient notes, etc.).

(In the longer term, recipe documentation is expected to transition to the Pastry R&D function.)

4. Campaign Coordination & Product Alignment

• Serve as the main coordinator and liaison between the Brand Team, CEO, and Production Team on product briefs, requirements, and direction for seasonal campaigns.
• Ensure that seasonal campaign products meet the brand brief and CEO expectations prior to launch.
• Support the alignment of product concepts with operational feasibility in production, working closely with the Head of Production and the R&D Pastry Lead .

5. Cross-Team Product Communication

• Act as the primary point of contact for product clarifications for Sales, Stores and Store Operations teams

• Ensure teams have accurate product specifications (including dietary and allergen information), campaign information, and operational (handling) guidance.

6. Product Procurement & Production Support

• Coordinate the procurement of specialist production items, such as tools, moulds, decorations, or specialty ingredients required for campaign items.

• Support the sourcing of materials and packaging required to execute seasonal product concepts.

7. Product Strategy Support

Support the Product Strategist on:

• Forecasting and ordering of PV Foods packaged retail items
• Research and proposals for product packaging
• Procurement coordination and any other product-related tasks where relevant

8. General

• Complete other tasks as assigned by management.

Qualifications & Experience

• Bachelor’s degree in Food Science, Culinary Arts, Business, Marketing, or a related field.
• 3–5 years of experience in product development, category management, or campaign/product planning, preferably within the F&B, retail, or consumer lifestyle industry.
• Experience coordinating cross-functional projects involving product, brand, and operational teams.
• Strong analytical and documentation skills with the ability to conduct costing analysis, document costing margins and prepare pricing proposals.
• Experience conducting product trend research and competitor benchmarking.
• Strong organisational and documentation skills, particularly in maintaining product specifications and internal product references.
• Familiarity with F&B production processes or café operations is an advantage.

To drive this next chapter of growth while honouring our commitment to craft, we are looking for a Communications Design Manager to join our small, committed team. In this role, you will take ownership of our visual identity and creative output, go beyond aesthetics alone to craft thoughtful, evocative and impact-driven design across offline-to-online touchpoints. 

This position reports to the Head of Brand & Growth.

Key Responsibilities

 1. Design Leadership & Cross-Functional Project Management 

• Own and maintain the quality and consistency of all creative output, honouring brand guidelines and raising the bar in overall artistic vision, design standards and its performance.
• Oversee and manage projects to a successful completion, including the establishment and managing of timelines.
• Manage and mentor the design team; improve design workflows and tools.
• Coordinate with cross-functional teams (Operations, Product, Retail, Front of House, Sales & Order Fulfilment) to produce and implement artwork to meet stakeholder objectives.
• Beyond business-as-usual responsibilities, design holistic brand communication strategies together with the Brand team to achieve long-term brand and business goals

2. Print & Packaging Design

• Design and produce on-brand and cost-efficient print collateral for store operations, brand activations, seasonal campaigns, and client requirements
• Ideate, design, prototype and present packaging as needed.
• Prepare FA files and liaise directly with printers and suppliers.
• Provide editorial design and layout as required.

4. In-Store Brand Experience Design

• Conceptualise and execute visual comms collaterals and placements that enhance the guest experience. 
• For seasonal occasions, manage external collaborators and/or work with colleagues to elevate in-store food & merchandising displays, decor and activations that bring campaigns to life.

5.  Content, Graphic Design, & Photography Support

• Plan and create meaningful, value-adding content informed by brand ethos, best practices, and historical performance data.
• Provide design, illustrations and photography from conception to completion as and when required for both print and digital mediums
• Produce product, campaign and digital assets, including the planning and producing of photoshoots, and post-production delivery of images.

Job requirements

• Degree/Diploma in Communication Design, or a related field.
• At least 5+ years’ experience working in a design role, with strong hands-on experience in print design
• Proficient in Adobe Creative Suite (especially Illustrator, Photoshop, Lightroom and In Design)
• Must have a ready portfolio to present; applications without a portfolio link will be automatically rejected.
• Meticulous with an attention to detail.
• Able to work well under pressure and meet deadlines without compromising on quality.
• Able to manage multiple projects simultaneously and communicate priorities effectively
