The team

As an integral part of the team, the Client Service Manager works closely with the Institutional Sales Team and is responsible for account management of institutional clients in Southeast Asia. Client types range from central banks, sovereign wealth funds, supranational, government agencies, statutory boards, investment consultants, endowment funds, pension funds, insurance and family offices.

What you’ll do

• Serve as a trusted point of contact for institutional clients by promptly responding to and resolving queries, providing clear, accurate, and timely information.

The knowledge, experience and qualifications you need

• Recognised university degree with at least 8 years’ of experience in client servicing or relationship management within asset management, preferably with a focus on Southeast Asia institutional clients
• Understanding of asset management clients and products (e.g. segregated and sub-advisory mandates, fund structures, public assets and alternatives) across institutional clients such as pension funds, insurers, and sovereign wealth funds and wealth.
• Familiarity with the APAC regulatory landscape and local market practices.
• Demonstrated history of delivering high standards of client service, managing complex client relationships, and acting as the main point of contact for institutional investors.

THE ROLE

You will be part of the Planning and Development team, supporting the planning and detailed design of clinical and non-clinical spaces within the new Tower. Working closely with clinical leads, operational users, and appointed consultants, you will help translate the functional needs of each department and tenant into well-considered spatial plans - ensuring that every space in the new building is designed to support how it will actually be used.

This role suits someone with an architecture or built environment background who is equally comfortable thinking through a floor plan and writing a structured summary of a planning meeting. You will be the bridge between what users need and what consultants design.

The responsibilities of this role are:

1.  Space Planning & Layout Development

• Support the development and review of space planning layouts for clinical and non-clinical tenants across the Medical Tower, ensuring that adjacency, workflow, and functional requirements are accurately reflected in the design.
• Conduct test fit exercises and prepare planning options for departmental spaces, presenting alternatives clearly to support decision-making by clinical leads and senior management.
• Review architectural drawings and consultant submissions to verify that approved user requirements and the Schedule of Accommodation are accurately reflected in the design at each stage.
• Support the coordination of fitting-out and FFE requirements for departmental spaces, working with users to document furniture and equipment needs and ensuring these are reflected in the planning and design process.

2.  User Engagement & Requirements Capture

• Facilitate and attend planning meetings with clinical users, operational leads, and consultants, capturing requirements and translating complex discussions into structured summaries and action items.
• Attend planning and design meetings as the team's designated note-taker, producing accurate and timely minutes that capture decisions, outstanding items, and the next steps agreed. Where required, explain and clarify user requirements to consultants in writing, ensuring that what users have asked for is communicated precisely and is not lost in translation between meetings.
• Maintain an up-to-date record of planning decisions, outstanding items, and approved changes for each department or tenant, ensuring nothing falls through the cracks between meetings.
• Coordinate with the broader planning team to flag design issues, conflicting requirements, or gaps in the user brief before they affect the programme.

3.  Documentation & Presentation

• Prepare clear, well-structured presentation slides to communicate planning options, design recommendations, and progress updates to a range of stakeholders including clinicians, operations teams, and senior management.
• Produce accurate meeting minutes and concise written summaries following planning and design sessions, distributing them within agreed timelines.
• Assist in the preparation of planning reports, design briefs, and submission documents for internal approval and consultant engagement.

4.  Design Coordination & Compliance

• Support the review of architectural drawings for compliance with local building codes, regulations, and Healthcare Facility Design Standards.
• Liaise with consultants on design queries, ensuring that user requirements are clearly communicated and that responses are tracked and resolved.
• Assist in maintaining the team's drawing register and document management system, ensuring version control and accurate filing of all planning and design materials.

The ideal candidate will need to have the following qualities and experience:

• Degree in Architecture or a related built-environment discipline.
• 3 - 6 years of relevant experience in architectural practice, space planning, or healthcare facility planning. Fresh graduates with strong internship experience in architecture or planning will be considered for the Senior Executive level.

As a cornerstone of our operations, you will be responsible for maintaining the day-to-day efficiency of the office, providing administrative support across departments, and serving as the primary representative of our company’s professional image.

Core Responsibilities

• Daily Administration: Maintain the office environment, manage the procurement of office supplies, handle incoming/outgoing mail and express deliveries, and manage fixed asset registration.

• Document Management: Assist in drafting, printing, and binding official documents and meeting minutes; oversee the systematic classification and archiving of files.

• Meetings & Travel: Assist in organizing internal meetings, annual galas, or team-building activities; manage business travel arrangements (flights and hotels) for employees.

• Front Desk & Reception: Answer inquiry calls, greet and guide visitors, and handle hospitality tasks such as serving tea/water.

• Attendance & HR Support: Assist with staff attendance tracking, onboarding procedures, and provide basic human resources support.

• Ad-hoc Tasks: Complete other temporary assignments as directed by leadership.

Requirements

• Technical Skills: Proficient in Microsoft Office (Word, Excel, PowerPoint); fast typing speed and basic business writing skills.

• Professionalism: Detail-oriented with strong logical thinking and multi-tasking abilities; punctual and reliable.

• Communication: Professional appearance, outgoing personality, with excellent coordination and teamwork skills.

• Preferred Qualifications: 1+ years of relevant experience is preferred (outstanding fresh graduates are also welcome to apply).

·       Lead recruitment, selection and onboarding processes.

·       Support manpower planning and liaise with other departments on hiring needs.

HR Operations & Employee Records

• Manage employee onboarding and offboarding processes, ensuring accurate documentation and compliance.

·      Maintain up-to-date personnel files, HR databases, and employee information systems.

·      Manage employee relations.

Compensation & Benefits Administration

·       Oversee employee benefits, medical claims, and related HR entitlements.

·       Track staff attendance, leave applications, and prepare payroll-related data for processing.

·       Manage performance appraisal systems

Learning and Development

• Overseeing Learning & Development programs, including needs assessment, training plans, and budget management.

·      Organise team building/bonding activities.

Asset & Policy Management

• Maintain company assets, accurate assets records and documentation.
• Review and update HR and administrative policies; ensure staff are informed of policy changes.

Strategic Planning

• Support on strategic planning and decisions that impact all management levels
• Support company’s strategic planning for entire employee lifecycle, from recruitment to performance management
• Ensure the workforce is skilled, motivated, and performing well in order to meet the company’s goals

General Administration

• Oversee day-to-day administrative operations including document management, meeting coordination, facilities management, and vendor liaison.
• Support general office maintenance and ensure a well-organized and efficient workplace environment.
