Job Description
We are seeking a proactive and detail-oriented Operations & Administration Executive to support the company's daily operations. The successful candidate will be responsible for office administration, inventory control, HR and payroll administration, logistics coordination, customs permit declarations, accounts administration, and project coordination.
Key Responsibilities
Administration & Operations
- Perform daily booking and data entry activities.
- Process backlog bookings and maintain accurate operational records.
- Handle general office administration and documentation.
- Manage office supplies and ensure timely replenishment of consumables.
- Review existing operational workflows and develop SOPs to improve efficiency, accountability, inventory control, and workplace organization.
- Ensure proper housekeeping, inventory management, and adherence to operational procedures by all staff.
Inventory & Warehouse Coordination
- Track incoming and outgoing inventory movements.
- Maintain accurate stock records and inventory databases.
- Conduct stock reconciliation and periodic stock counts.
- Prepare inventory and stock balance reports.
- Coordinate local stock collection and delivery arrangements.
Logistics & Customs Coordination
- Arrange incoming freight shipments and customs clearance.
- Liaise with freight forwarders, transport providers, customers, and vendors.
- Prepare and submit import and export permit declarations through TradeNet.
- Ensure compliance with Singapore Customs requirements.
HR & Payroll Administration
- Process monthly payroll accurately and on time.
- Maintain employee attendance, leave, and personnel records.
- Assist with onboarding and offboarding processes.
- Support CPF submissions and HR administrative matters.
Accounts Administration
- Prepare and issue quotations, invoices, delivery orders, and purchase orders.
- Verify supplier invoices and maintain proper documentation.
- Assist with accounts receivable and accounts payable tracking.
- Maintain accurate accounting records and support month-end closing activities.
Project Coordination
- Coordinate IT asset collection, disposal, and recycling projects.
- Schedule collection and transportation activities.
- Maintain project documentation and status reports.
Requirements
- Diploma or equivalent qualification in Business Administration, Accounting, Logistics, or related disciplines.
- Minimum 2 years of relevant working experience.
- Basic understanding of accounting principles and bookkeeping practices.
- Experience with payroll administration and HR support.
- Familiarity with inventory management and logistics coordination.
- Knowledge of Singapore Customs TradeNet permit declarations is an advantage.
- Proficient in Microsoft Office applications, especially Excel.
- Experience using Xero Accounting Software and Info-Tech Payroll/Accounting Systems preferred.
- Strong organizational skills, attention to detail, and ability to multitask.
- Good communication and interpersonal skills.

Salary
SGD 3,500 – 5,000 per month (commensurate with experience)
