Job Summary

Ho & Wee LLP seeks an experienced Accounts Executive to independently manage full sets of accounts, payroll, and administrative tasks in a fast-paced legal environment.

Responsibilities

• Independently manage a full set of accounts to ensure accurate financial records
• Monitor accounts receivable by preparing debtors ageing lists and following up on collections
• Perform accounts payable processing and timely reconciliations to maintain financial accuracy
• Prepare and submit GST returns in compliance with regulatory requirements
• Track and maintain disbursements for client files to support case management
• Prepare monthly financial reports and assist in annual budgeting for management decision-making
• Ensure timely month-end closing and submission of reports including billing summaries, bank reconciliations, income and expenditure statements, and balance sheets
• Liaise effectively with auditors and tax agents to facilitate audits and tax compliance
• Process monthly payroll and CPF submissions accurately and on schedule
• Prepare and submit employee earnings through the IRAS Auto-Inclusion Scheme to meet statutory obligations
• Administer employee medical insurance and benefits to support staff welfare
• Maintain accurate employee leave records and process medical and other claims efficiently

Required competencies and certifications

• Diploma in Finance, Accountancy, or equivalent
• Minimum 3–5 years of relevant experience, with prior experience in a law firm essential
• Advanced proficiency in QuickBooks for accounting management
• Advanced proficiency in Microsoft Excel and other Office applications for data analysis and reporting
• Familiarity with MOM regulations and Singapore labour laws to ensure compliance
• Strong organisational skills to multi-task and meet deadlines in a fast-paced environment

• Provide administrative and secretarial support to lawyers and management to ensure smooth office operations
• Draft and prepare correspondences, basic legal documents, and standard forms under lawyer supervision to support case management

We are a boutique law firm offering a full range of legal services to individuals and businesses. We are looking for a motivated and adaptable junior Associate to join our small but busy team. The candidate we are seeking must have an interest in a spectrum of legal work including conveyancing, wills and probate, corporate secretarial, general corporate and general litigation work. This is a general practice role — ideal for someone who enjoys variety, wants to develop across multiple areas of law, and is keen to build a broad foundation as a practitioner.

What You'll Do

• Handle conveyancing matters
• Draft wills, manage probate and estate administration matters
• Assist with corporate secretarial work
• Handle small litigation matters and support senior lawyers on more complex cases
• Conduct legal research and prepare advice for clients
• Liaise directly with clients, CPF Board, IRAS, SLA, and other relevant agencies

 Requirements:

• Admitted as an Advocate & Solicitor of the Supreme Court of Singapore, with 0–2years' PQE. We welcome experienced paralegals with at least 3 years of relevant hands-on legal experience
• Genuine interest in general practice across multiple areas of law, rather than a single specialisation
• Meticulous, responsible, and able to manage files independently with appropriate supervision
• Excellent written and spoken English; Mandarin proficiency is an advantage as we serve Mandarin-speaking clients
• Strong interpersonal skills and a client-service mindset
• IT-savvy and comfortable with MS Office; familiarity with STARS e-lodgement, eLitigation, and ACRA portals is a plus
• Able to work well under pressure and manage multiple files concurrently

Key Responsibilities

1.  Human Resources

•      Implement and maintain firm-wide HR policies and procedures

•      Oversee staff leave management and scheduling to ensure adequate manpower coverage at all times.

•      Oversee the full recruitment lifecycle: drafting job descriptions, placing advertisements, screening CVs, coordinating interviews, and managing candidate communications.

•      Manage work pass applications, renewals, and cancellations in compliance with MOM regulations.

•      Handle employees’ benefits administration including medical insurance and leave entitlements.

•      Maintain accurate and confidential employee records; manage staff confirmation, resignation, and offboarding processes.

•      Introduce and enforce structure and discipline across the firm to support a well-run, professional working environment.

2.  Office Management

•      Oversee day-to-day office operations and ensure the office runs smoothly and efficiently.

•      Manage and negotiate with third-party vendors and service providers, including IT, insurance agents, and facilities management.

•      Manage procurement of office supplies

•      Maintain lawyers’ practising certificates and professional indemnity insurance renewals.

•      Handle ad hoc administrative matters as they arise, with a problem-solving mindset.

•      Support the firm’s business development efforts by identifying opportunities to grow the firm’s profile and client base.

What We’re Looking For

•      Minimum Diploma qualification in a related field.

•      At least 5–7 years of relevant experience, ideally in a professional services environment (law firm, accounting firm, or similar). Experience in a legal setting is a strong advantage.

•      Proven ability to take ownership and work independently with minimal supervision

•      Strong HR knowledge including familiarity with MOM regulations, Employment Act, and labour laws in Singapore.

•      Experience in recruitment

•      Strong interpersonal and stakeholder management skills— able to liaise credibly with lawyers, partners, external vendors, and potential candidates.

•      Proficient in Microsoft Office (Word, Excel, PowerPoint); familiarity with legal practice management software is an advantage.

•      Highly organised, meticulous, and able to manage multiple priorities in a fast-paced environment.
