Role Summary

To deliver exceptional technical service, maintenance, and support for CRAC (Computer Room Air Conditioning) and WDS (Water Detection System) infrastructure in data center environments. Ensure system reliability, client satisfaction, and strict adherence to safety and procedural standards.

Key Responsibilities:

Technical Service & Maintenance:

• Perform periodic servicing, maintenance, and troubleshooting of CRAC/WDS systems.
• Diagnose hardware/software faults, identify root causes, and recommend solutions.
• Conduct equipment power-up/down procedures and respond promptly to e-calls (emergency calls).

Client Support & Training:

• Provide technical support and onsite training on Operation & Maintenance Manuals (OMM).
• Maintain strong client relationships, particularly with site engineers.
• Liaise with customer engineering departments to ensure compliance with company procedures and quality guidelines.

Documentation & Reporting:

• Complete detailed service reports after each servicing/e-call.
• Submit weekly/monthly reports on work activities, progress, and remedial actions.
• Maintain accurate filing, documentation, and tracking of all service records.

Site & Contractor Management:

• Monitor and manage contractor activities to ensure adherence to safety/operational procedures.
• Review site "Events and Actions," implementing corrective measures as needed.
• Plan, execute, and update daily work schedules.

Safety & Compliance:

• Strictly follow data center safety rules, regulations, and quality standards.
• Ensure all work activities comply with occupational safety guidelines.
• Support ad-hoc tasks assigned by superiors.

Requirements

• Minimum ITE/Diploma in Mechanical/Electrical Engineering or equivalent.
• At least 2 years of hands-on experience in maintenance engineering (ACMV/DX systems preferred).
• Fresh polytechnic graduates with relevant internship or project experience are welcome to apply.
• Proficient in electrical/mechanical systems troubleshooting.
• Practical knowledge of CRAC, WDS, or related critical infrastructure.
• Excellent problem-solving, analytical, and communication skills (written/verbal).
• Highly organized with ability to prioritize tasks in high-pressure environments.
• Team player with a positive, motivated, and willing-to-learn attitude.
• Candidates must demonstrate flexibility and a willingness to perform standby duties as required by operational needs.
• Able to perform manual tasks in data center environments.

Key Responsibilities:

1) Operations Support

• Provide administrative and coordination support daily operation needs
• Assist in scheduling, tracking, and follow‑up of operational tasks and deliverables
• Maintain accurate records of operational data, reports, and documentation
• Support process improvements and ensure compliance with internal procedures

2) Contract Team Support

• Assist in preparing, organizing, and managing contracts, agreements, and related documentation
• Coordinate with Service and Maintenance teams to ensure proper delivery of services as per contract
• Coordinate contract flow including submission, endorsement, approval, and execution
• Track contract status and renewal dates, highlighting key deadlines to relevant stakeholders
• Maintain a centralized contract filing system (physical and/or digital)

3) Sales Administration Support

• Update contract sales and customer records in internal systems
• Prepare basic contract sales and operations summary reports as required

4) Cross‑Team Coordination

• Act as a liaison between Contract, Sales Admin, and Operations teams to ensure smooth communication.
• Follow up on outstanding issues, documents, or requirements across teams.
• Support internal meetings, including preparation of documents and meeting minutes.

5) General Administration

• Perform general administrative duties such as filing, data entry, document control, and correspondence.
• Support audits (internal or external) by organizing relevant documentation.
• Support inventory management of the company Sales and Maintenance stocks.
• Undertake ad‑hoc tasks, like trade show, as assigned by management.

Requirements & Qualifications:

• O-Level / ITE education in any discipline (Preferably engineering related).
• 1–3 years of administrative support experience (SME experience preferred).
• Exposure to contract administration or operations coordination is an advantage.
• Strong organizational and multitasking skills.
• Good attention to detail and documentation accuracy.
• Effective communication and coordination skills.
• Proficient in Microsoft Office (Word, Excel, Outlook); ERP/CRM experience is an advantage.
• Able to work independently and collaboratively in a small team environment.

1. Accounts Payable & Accounts Receivable

• Ensure Purchase Orders (POs) are issued to suppliers within required timelines.
• Process payments according to company schedule.
• Reconcile supplier statements and resolve billing discrepancies.
• Issue invoices for project and maintenance jobs promptly and accurately.
• Monitor outstanding receivables and follow up with customers for overdue payments.
• Maintain AR aging schedule and coordinate with internal teams on billing progress.

2. Stock & Shipment Management

• Maintain accurate stock records and track all stock movements.
• Conduct quarterly stock take and reconcile variances.
• Monitor shipments and ensure GST declaration and related documentation are completed.
• Arrange payment for GST declaration.
• Coordinate with suppliers and relevant parties to follow-up on supplier invoice payments.

3. Quarterly GST Submission & Monthly / Quarterly Closing

• Maintain and update GST records in compliance with statutory requirements.
• Prepare and submit quarterly GST filings timely and accurately.
• Perform monthly bank reconciliations.
• Carry out monthly and quarterly closing activities including journal posting and account reconciliations.

4. Cost Sheet Management

• Update project cost sheets regularly for accurate reflection of costs.
• Ensure cost sheets support accurate billing and revenue recognition.

5. General Ledger (GL) Accounting & Monthly Closing

• Perform monthly GL closing ensuring all transactions are captured accurately.
• Prepare and post journal entries, accruals, and adjustments.
• Reconcile balance sheet schedules and resolve any discrepancies.
• Support preparation of internal management reports when required.

6. Other Finance Tasks

• Support the preparation of monthly, quarterly and annual financial reports.
• Assist in annual audit processes by preparing schedules, resolving auditor queries and providing required documentation.
• Maintain proper filing and documentation of financial records for audit and compliance purposes.
• Liaise with internal departments on finance-related matters.
• Assist in the implementation and improvement of accounting workflows, internal controls and reporting processes.

Requirements:

• Diploma in Accounting, Finance, or related field.
• Minimum of 4 years’ relevant accounting experience, preferably in an equipment installation, project-based, or SME environment.
• Knowledge of inventory accounting.
• Proficiency in accounting software QuickBooks and Microsoft Office.
• Strong sense of responsibility, initiative, and problem-solving skills.
• Detail-oriented with good organizational and time management skills.
• Good communication and interpersonal skills.
