As a File Manager, you will take full ownership of the files assigned to you — managing them end‑to‑end as if they were your own business unit. From timelines and filings to billing, collections, and cash flow, you ensure that nothing — and no one — drops the ball.
What You’ll Own
- Full accountability for every file assigned to you, ensuring nothing falls through the cracks
- Financial management of files, including billing, invoicing, monitoring collections, and maintaining healthy cash flow
- Ensuring all financial, procedural, and court-imposed deadlines are strictly met
- Maintaining files and ensure that they are accurate and current
- Proactively tracking timelines and anticipating upcoming deadlines well in advance
- Preparing, filing, and managing legal documents promptly, accurately, and systematically, both digitally and physically
- Acting as a key point of contact for client liaison personnel — handling communications with professionalism, clarity, and responsiveness
- Coordinating seamlessly with lawyers, colleagues, and third parties including Chambers, SIAC, courts, vendors, and service providers
- Overseeing, guiding, and mentoring administrative assistants — setting standards and ensuring consistency of execution
- Identifying risks, bottlenecks, or delays early and taking initiative to resolve them before they escalate
What You Bring to the Table
- Ruthless attention to detail — accuracy is non‑negotiable
- An obsession with timelines (yes, reminders for your reminders are encouraged)
- A strong sense of ownership and accountability — you don’t wait to be told twice
- Exceptional organisational and prioritisation skills
- The ability to juggle multiple matters calmly and confidently under pressure
- Prior experience in administrative, operations, or file management roles (Legal or professional services experience is a strong advantage)
- Comfort and competence with MS Office, legal practice management systems, AI tools
- Strong written and verbal communication skills with excellent English proficiency
- The ability to work effectively with diverse personalities — lawyers, clients, courts, and vendors alike
- A professional mindset that balances precision, discretion, and initiative
