Job Summary

Lead and support organizational operations by improving policies, managing budgets, overseeing staffing, and maintaining administrative systems to ensure secure and effective business performance.

Responsibilities

• Guide organizational activities to align with business goals and operational effectiveness
• Identify opportunities to enhance business policies and objectives for continuous improvement
• Ensure company operations comply with security standards and function efficiently
• Prepare and review operational reports to inform management decisions
• Lead and participate in meetings to coordinate cross-functional initiatives

• Maintain and update all policies and procedures manuals to reflect current practices
• Hire and train administrative staff to build a competent support team
• Delegate tasks effectively to administrative assistants to optimize workflow
• Create and organize personnel folders for new hires to ensure accurate record-keeping
• Monitor and project staffing needs to support department growth and resource planning
• Oversee department budget planning and development to manage financial resources
• Manage and maintain all department databases to ensure data accuracy and accessibility
• Perform clerical accounting and general office duties as required to support daily operations
• Develop strong relationships with cross-functional teams and departments to foster collaboration

Job Scope

• Involved in employee engagement initiatives, resolve employee grievances, counsel employees
• assist with preparation of organization orientation for new staffs
• Support in operations needs, when required
• Support in the preparation of meeting, materials & taking minutes
• Coordinates effectively with the different departments of staffs, when required
• Drafts and prepares written correspondence
• Maintain proper filing system
• Assist with either sets of accounts duties, when needed (eg; AP/AR)
• Follow up on any outstanding payment issue
• Perform ad-hoc and other administrative duties

Job Requirement

· At least a Higher Nitec in Admin or HR fields

· Minimum 1 year of relevant experience

· Good interpersonal skills, able to communicate effectively

· Work Location: Loyang (required to go onsite)
