You will provide administrative support to the Corporate Secretarial team, assisting with documentation, filings, coordination, and general office administration.

• Manage mail and document handling, including hold mail services, mail redirection, daily collection, sorting, scanning, and distribution of correspondence.
• Assist with scanning and processing of bank statements and official correspondence (e.g. IRAS, SBF letters) for client records.
• Support corporate secretarial work including updating records in Viewpoint, and handling documentations for transfer-in client files.
• Assist in obtaining Certificates of Incumbency, Certificates of Good Standing, and Company Search Reports across jurisdictions.
• Coordinate certification and notarisation of documents as required.
• Support bulk updates of time charges, disbursements, and other records in Viewpoint.
• Manage file closure processes in accordance with established checklists and procedures.
• Support CDD and compliance processes via Sentroweb, including profile updates, basic screening searches, and monitoring alerts.
• Follow up with PICs on CDD reviews, updated identification documents, and completion of risk assessment reviews within required timelines.

Requirements:

• Minimum Diploma in any discipline, with prior administration experience in a corporate services working environment

As our Clinic Administrator, you'll play a crucial role in streamlining our operations and supporting both the implementation of technology and optimization of business and medical operations. Key Responsibilities:

• Provide administrative support to clinical and operational teams
• Coordinate client appointments, practitioner schedules, and calendar blocking
• Respond to client enquiries across multiple platforms (WhatsApp, email, etc.)
• Plan and coordinate clients’ diagnostic days, including scheduling assessments and practitioner sessions
• Handle basic invoicing and assist with payment collection processes
• Liaise with patients regarding appointment confirmations, scheduling changes, and follow-ups
• Support day-to-day clinic workflow and operational coordination

Requirements:

• Currently pursuing a Diploma or Degree in Healthcare Administration, Business Administration, Hospitality Management, or related field
• No prior experience required; prior internship or admin/customer service experience is an advantage
• Strong communication skills (written and verbal English)
• Organised, detail-oriented, and able to manage multiple tasks
• Comfortable using WhatsApp, email, and basic digital tools
• Basic Microsoft Excel / Google Sheets skills preferred
