JOB SUMMARY
Responsible for assisting in managing operational, manpower, and administrative matters of the Environmental and Linen Services Department to ensure a safe, clean, and comfortable environment.
KEY RESPONSIBILITIES AND ACCOUNTABILITIES
- Acquire a thorough understanding of the department's environmental and linen services operations to ensure smooth functioning.
- Ensure high-quality standards across daily operational tasks, overseeing services including Housekeeping, Linen and Laundry, Landscaping Management, Pest Control, and Waste Management.
- Oversee individual service contracts and collaborate with service partners to uphold high-quality standards and compliance with legal requirements and key performance indicators across systems, operations, services, and programs. Participate in contract establishment and procurement processes.
- Adhere to regulations such as those outlined by the Ministry of Health (MOH), Enhanced Nursing Homes guidelines, Healthcare Services Act, etc. Conduct regular reviews of Risk Assessments (RA) to identify potential risks.
- Assess staff training requirements and collaborate with the appropriate department to establish the staff training program.
- Assess and review service partner’s training manual and update if required.
- Consistently assess and maintain the currency of documents, standard operating procedures, audit files, and work processes to ensure their relevance and accuracy.
- Perform inspections and audits to verify adherence to service standards by service partners.
- Assist in coordinating and facilitating communication with various departments regarding feedback and work-related issues.
- Identify and address daily work-related issues by developing and implementing corrective action plans.
- Proactively identify opportunities for process improvements and enhancements.
- Manage administrative functions and workflow processes within the Environmental and Linen Services Department. Establish and maintain comprehensive records, including budget and expenses, contract details, assets, linen and bin inventory, etc., to ensure accurate tracking and management.
- Collaborate closely with both internal and external stakeholders, including service partners, to ensure the seamless delivery and maintenance of respective services, enhancing the comfort of residents, the public, and staff.
- Participate in drafting and reviewing policies and procedures, workflows, budgets, workplans, business continuity plans, and other written documents within the department.
- Engage in various continuous improvement programs and projects aimed at enhancing departmental operations.
- Support and manage additional tasks assigned, responding promptly to changing requirements.
JOB REQUIREMENT
Academic Qualification: Preferably holds a recognized Bachelor’s degree in any discipline.
Experience: 1-2 years of working experience in a healthcare setting environment is preferred.
Skills: Proficient in Microsoft Office applications; Excellent team player with a strong individual focus; Possesses excellent interpersonal, written, and verbal communication skills; Able to thrive in a fast-paced and dynamic environment.
