JOB RESPONSIBILITIES

• Provide daily operation duties and administrative assistance in membership enquiries and services
• Assist with any enquires (via phone, email or in-person)
• Assist and support the Membership Sales team with membership application
• Update and handle confidential membership profile and database
• Perform secretarial and administration support duties
• Assist with membership application data-entry and post-sales membership enrolment kit preparation
• Rotating membership enquiry duty on weekdays and once every weekend or as and when assigned
• Assist with event planning and duties during membership events and /or when necessary
• Perform supporting function in membership sales related enquires (incentive will be deterrmined by team leader and awarded when monthly team KPI is met)
• Any other jobs/ duties as assign as and when by the management

JOB REQUIREMENT

• Good command of languages, able to speak and write in English & Mandarin

• Ability to work under pressure and multi-tasking
• Five-day workweek and once every weekend rotating duty. Must be willing to commit on weekends duty and event duty (weekends / public holidays)

The successful candidate will be part of the Hybrid Platform Engineering team

He/She will be responsible for the following:

•Provide deep administration and troubleshooting expertise for middleware technologies, particularly MQ and JBOSS, across both on-premises and cloud environments.

•Perform middleware, monitoring, and backup administration and troubleshooting activities in compliance with company policies and procedures.

•Create and maintain documentation and standard operating procedures related to middleware, monitoring, and backup tools.

•Develop automation solutions using tools such as Ansible and Python scripting to enhance agility and operational efficiency in middleware, monitoring, backup, and related infrastructure areas.

•Support audit processes, infrastructure/network security scans, disaster recovery exercises, and security-related drills.

•Research, evaluate, and deploy new middleware, monitoring, or backup technologies to reduce costs and improve operational efficiency.

•Provide on-call support according to the roster for troubleshooting and planned maintenance of production systems.

Requirements

•Possess a degree in Information Technology or related fields.

•Minimum of 5 years of IT experience, including at least 3 years of hands-on experience in middleware (MQ, JBOSS) and/or enterprise monitoring/backup tools administration.

•Expertise in managing middleware platforms (MQ, JBOSS), including installation, configuration, security, networking, storage integration, patching, and hardening; certification in at least one of these areas is preferred.

•Experience with enterprise monitoring and backup tools, along with other industry-standard solutions.

•Proficient in scripting and automation (e.g., Python, Ansible) to streamline provisioning, monitoring, and backup tasks.

•Familiarity with networking and internet protocols, operating systems, and foundational IT security principles.

•Experience with Agile methodologies, DevOps, CI/CD, and related tools is preferred.

•Strong analytical, project management, communication, and interpersonal skills.

Timetable & Records Administrator

The Timetable & Records Administrator is the school's expert in strategic and technical academic scheduling, responsible for the construction, long-term maintenance, and daily adjustment of the academic timetable. The role is the central hub for ensuring scheduling efficiency, data integrity within the school's MIS, and serves as the compliant keeper of official student academic records. The Administrator ensures that strategic scheduling decisions and data management protocols are accurately implemented and maintained.

Key Responsibilities

1. Strategic Timetable Construction & System Expertise

• Lead the design and technical construction of the school's master academic timetable for the academic year, optimising for curriculum requirements, room utilisation, and staffing constraints.
• Act as the primary technical expert for the school’s timetabling and student records software (MIS), ensuring all data regarding staff, students, and rooms is accurate and up-to-date.
• Manage the integrity and security of official student academic records (e.g., enrollment, transcripts, transfer credits) within the MIS.
• Execute the technical "roll-over" of schedules from term to term and year to year.
• Manage the digital processing of student option choices and their subsequent placement in the grid.

2. Daily Operations & Ongoing Adjustments

• Process all immediate room changes necessitated by examinations, school meetings, or special events.
• Implement temporary timetable shifts required for staff absences, building renovations, or external regulatory requirements.
• Resolve individual student or staff scheduling conflicts as they arise, ensuring minimal disruption to learning.
• Process and maintain records for student enrollment, withdrawals, and course changes, ensuring all records comply with school policy.

3. Collaborative Support

• Serve as the administrative lead during the weekly Timetabling Team meetings.
• Act as the point of contact for the Admissions, Languages, and Curriculum departments to facilitate the rapid placement of new students.
• Liaise with external educational institutions for the exchange and verification of academic records, including transcripts and transfer documentation.
• Provide the Assistant Timetablers with data-driven insights into room utilisation and resource allocation.

4. Curriculum & Expansion Implementation

• Technically facilitate curriculum changeovers
• Input and maintain the structural changes required for new programs or school facility expansions.

5. Documentation & Communication

• Maintain the definitive "Source of Truth" records for all timetabling decisions and history.
• Generate and distribute updated schedules to staff and students whenever changes occur.
• Process and issue official student transcripts and verification letters upon request, ensuring compliance with data privacy legislation.
• Prepare utilisation reports for senior leadership to assist in long-term facility planning.

Requirements:

• Technical Expertise: Significant experience with MIS or equivalent enterprise-level school management systems, with a proven track record in complex academic timetable construction and long-term scheduling strategy, is essential.
• Detail Orientation: Exceptional organisational skills with a proven ability to manage complex datasets without error.
• Compliance Knowledge: Working knowledge of data protection and academic record regulations.
• Communication: Ability to act as a "translator" between technical system constraints and the needs of teaching staff and school leadership.
