Key Responsibilities:
Event & Staff Coordination Support
· Assist in identifying and suggesting event locations for customer approval
· Support planning and coordination of event logistics, including site setup and dismantling
· Coordinate and communicate with event coordinators, promoters, emcees, and on-site staff to ensure attendance, smooth operations, and effective audience engagement
· Manage manpower coordination for Singtel promoters and other event staff, including monitoring attendance, punctuality, and performance standards
· Participate in recruitment efforts to address manpower needs as required
Inventory & Vendor Management
· Maintain and manage inventory levels of marketing materials, premiums, gifts, and promotional item
· Coordinate with vendors and suppliers to ensure timely delivery of event materials and services
· Assist with vendor contracts, purchase orders, and follow up on invoices and payments
Reporting & Budget Monitoring
· Assist in preparing, monitoring, and tracking event budgets and expenses related to advertising, rentals, and other costs
· Maintain accurate records of event plans, contracts, correspondence, and financial documentation
· Prepare regular status reports and post-event summaries, including attendance, inventory and feedback data for management and client review
Communication & Administrative Coordination
· Schedule and coordinate meetings with clients, promoters, vendors, and internal teams
· Serve as a point of contact for internal teams and external partners regarding event-related queries
· Assist in drafting and distributing internal communications and client updates
· Support general office administrative tasks such as filing, scanning, and document distribution

· Experience collaborating with external vendors and suppliers
· Budget management and expense tracking skills
· Strong problem-solving skills and ability to handle high-pressure situations.
