Currently a staff of nine in the United States and seven in Singapore to run our global operations and sales – we are looking for an Accounts & Admin Assistant to join our Singapore team, to provide support on finance & administrative matters, located at Seletar Aerospace Park. This position reports directly to the General Manager (APAC) and Chief Financial Officer.
Duties and Responsibilities:
- Provide secretarial and administrative support to GM APAC & CFO.
- Maintain all order documentation, including contracts and orders, to ensure files are accurate, organized and readily accessible.
Accounts Payable (AP)
- Handle Accounts Payable functions, including Data entry of supplier invoices, preparing payment documentation for review, Manage Cash Disbursements (CD) including recording of payments, Liaising with vendors on invoice-related matters
- Staff Claims: Process staff claims including verification and data entry
Accounts Receivable (AR)
- Notifying relevant colleagues via email on customer receipt
- Cash Receipt (CR) including recording of receipts and ensure documentation is complete and accurate.
- Follow up on outstanding receivables, coordinating with colleagues and customers as needed to support timely collections
Bank Reconciliation & Accounting Support
- Perform timely and accurate monthly bank reconciliations
- Investigate and resolve discrepancies between bank statements and internal records
- File and maintain bank correspondence and related documentation
- Assist with updating accounting schedules, and support month-end closing activities
- May support the finance team with data entry of standard journal entries
- Serve as the primary internal contact for our external accounting firm for accounting records, reconciliations, and quarterly reporting requirements
Key Responsibilities for Administration
- General office maintenance - upkeep of office premises and equipment.
- Office supplies, pantry management, and tidiness.
- Insurance renewals, ensure company properties are adequately insured, premium payments and claims.
- Perform ad hoc administrative tasks as and when necessary.
Requirements/Pre-Requisites:
- Must be a Singapore Citizen, or holding “PR” status.
- Preferably Diploma holders – minimum O level qualifications.
- Minimum 2 years of relevant working experience
- Good written and verbal communication skills in English
- Proficiency with PC / MS Office software
- Multitasking and organized
- Ability to work independently and with other colleagues
