Job Details:

• Working hours : Monday – Friday 8am – 5pm (able to work from 7am to 4pm if needed)

• 1 yr contract (with potential for conversion)

We are hiring the Customer Account Specialist located in our Singapore office and reporting to the Senior Worldwide Customer Service Manager. This position will require a highly motivated, energetic, and resourceful person who has the willingness to learn. The role involves assisting the sales team by managing customer inquiries, providing information, and ensuring smooth sales operations.

Job Scope:

• Work closely with the Regional Sales Managers to solve problems and find solutions to meet the customers requests in a timely manner.

• Support the Sales team by fielding customer requests, working with the necessary departments to address customers' concerns and maximize customer satisfaction.

• Assist the sales team by following up with quotes, ensuring the pricing are set up, processing orders, and managing customer accounts to ensure a seamless sale process.

• Liaise with demand planning team to get updated customer’s Forecast and follow up with customers on the left to book and working with sales to update the forecast whenever needed.

• Interfacing with customers, distributors, and other related third parties to handle a variety of customer service functions.

• Responsible for full lifecycle of orders, which include handling customer expedite, requests, complains, escalation, special or unique demand requirements and following up on all issues.

• Order management to determine the status of sales orders, delivery schedules, verifying product pricing coordinating schedule changes, and maintaining records of sales order acknowledgements.

• Collaborate with planning team on escalations, pull in orders and other issues to maximize shipment.

• Co-ordinating Returns Merchandise Authorizations (RMA’s), working with customers, Quality team, Sales, and logistics.

• Work with finance team on credit hold issues, follow up with payment, released orders and other related issues.

• Co-ordinate shipment with logistics team and handle any shipment related issues.

• Following up with product marketing and quality team with any reported issues

• Responsible for additional duties, any other tasks as delegated by the superiors and projects as assigned. Also, to work with IT on issues related to order management (EDI, CSV, BVEM, testing, etc.)

Job Requirement:

• Proficient in Microsoft Office (Excel, Word, Outlook)

• Be familiar with Oracle is a plus point as tasks require order entry using Oracle. Proficiency in CRM software and other related systems

• Customer service-oriented ability, able to work well in a team and be a good team player.

• Partner with stakeholders to understand their resourcing requirements and fulfil the request effectively and efficiently within the turnaround time

Job Responsibilities

• Gain hands-on experience in end-to-end air and sea freight operations
• Handle drop, import and export shipment processing and coordination
• Communicate and coordinate with customers, overseas agents, carriers/airlines,NVOCCs, and co-loaders
• Arrange shipment bookings, customs clearance, and delivery schedules
• Monitor shipment status and ensure timely updates to customers
• Liaise with service providers for transportation and local handling services
• Process import/export permits and customs documentation

• Perform Documents, tracks and reports the flow of daily orders for Channel Partners and Inter-companies as well as end users.

• Creates and consolidates outbound deliveries, Transportation Unit, for STOs and sales in SAP (ECC and EWM).

• Order Entry for Channel Partners and Inter-company.

• Creates export documentation.

• Performs PDO process in SAP.

• Coordinates and schedules all customer shipments for instrumentation and spare parts, and supply center orders.

• Daily follow-up on POD’s. Ensure/initiate action when no POD is received.

• Reporting on KPI including daily reporting of on time shipments, reported errors and missed shipments.

• Releasing shipment orders, preparing export documentation, coordinate special deliveries. Work with CS to review problem orders.

• Place purchase requisitions for indirect supplied and perform monthly accruals for same.

• Coordinates the flow of goods, including exception management, re-routing, expediting, and other actions required to meet expected lead times or other customer service requirements.

• Provides detailed analysis of end to end performance. Documents, tracks and reports the flow of daily orders transferred to the warehouse and delivered to the end customers.

• Supports reverse logistics and flow of RMAs (return material authorization) from customer to return center.

• Point of contact for order status inquiries from internal stakeholders and external service providers.

• Initiates and reviews PGI (Post Good Issue). Ensuring all shipment orders are completed and closed in SAP.

• Ensures export/import documentation is accurate and complete in the system.

• Track shipments of goods throughout the supply chain.

• Support warehouse activity as needed.

• Report all perceived hazards to Distribution Manager.

• Ensure compliance to GDPMDS/ISO/Risk Assessment requirements.

What You Bring:

• Bachelor's Degree or equivalent
