This rolesupports both procurement and administrative functions, ensuring smoothoperations across departments. The position is split approximately 65%Procurement and 35% Administrative support.
Key Responsibiities:
1.Procurement (65%)
- Source and obtain competitive quotations from vendors and contractors for goods and services
- Issue RFQs (Request for Quotation) and evaluate submissions
- Negotiate pricing and terms to achieve cost efficiency
- Coordinate meetings between vendors, contractors, and internal stakeholders (including site visits when required)
- Manage purchase coordination, including order placement and delivery tracking
- Ensure timely fulfillment of procurement requests across multiple locations
2.Administrative Support (35%)
- Handle daily mail operations including franking, courier coordination, and dispatch
- Prepare and maintain reports related to outgoing mails and monthly SOAs
- Manage franking machine operations, including credit top-ups
- Oversee office pantry supplies (e.g., beverage stock replenishment)
- Verify and manage corporate phone bills (e.g., Singtel billing)
- Maintain and update internal telephone directory
- Liaise with courier vendors for document dispatch and collection (including urgent requests)
- Ensure proper transport of bulk mail items to the post office
3. Finance& Asset Coordination
- Verify budget codes (GL accounts) in collaboration with Finance for purchase requests
- Support asset tagging and tracking across multiple locations in line with audit requirements
- Assist in bi-annual asset audits
- Follow up with departments on submission of outstanding invoices
Requirements
- Diploma in Business Administration, Business Studies, or equivalent
- Minimum 1 year of relevant experience in procurement and/or administrative roles
- Strong administrative and documentation skills with attention to detail
- Able to work independently and manage multiple tasks
- Good communication and interpersonal skills
AdditionalInformation
- 5-day work week (Monday to Friday)
- Working Hours: 8:00am – 5:15pm OR 8:30am – 5:45pm
