Our client is a renowned investment firm specialising primarily in the investment of maritime and logistics sectors. The co is based in town (around 10 min walk from the nearest MRT station based in town).

For this Project Manager (1 year contract role), you will lead the end-to-end renovation of the organisation's Singapore office, a heritage-listed shophouse, ensuring full compliance with Urban Redevelopment Authority (URA) conservation guidelines and all applicable regulatory requirements. This will also include the successful leasing of a portion of the firm’s floor space. You will act as the client-side representative with consultants, contractors, prospective agents / tenants and vendors throughout the project lifecycle.

The renovation project is focused on rejuvenating the space and identifying and effecting any remedial maintenances works required. The renovation will not be looking to make any structural changes. An Interior Design consultant has been engaged to complete the design work, with the project planned to be completed within 2026.

Role and Responsibilities:

1. Project Planning & Delivery

• Develop and manage a comprehensive project plan, and milestone schedule from inception to handover and during the defect period.
• Define project scope, deliverables, and success criteria in alignment with organisational objectives.
• Monitor progress against plan, proactively identify risks implement mitigation strategies.
• Manage project closure, including snagging, final inspections, and documentation handover.
• Oversee renovation, conservation-related, fit-out, and remedial works from planning through to completion, including IT.
• Coordinate project delivery across design, approvals, procurement, construction and handover, including leasing-related space works and handovers.

2. Heritage & Regulatory Compliance

• Serve as the primary liaison with the Urban Redevelopment Authority (URA), Building and Construction Authority (BCA), SCDF and any other relevant regulatory bodies as required (noting no significant structural work is anticipated).
• Ensure all renovation works comply with the URA Conservation Guidelines and applicable heritage conservation requirements throughout the project lifecycle.
• Coordinate and obtain all required permits, approvals, and endorsements prior to commencement of works.
• Maintain a compliance register and ensure all submissions, approvals, and correspondence are properly documented.

3. Vendor & Contractor Management

• Lead the procurement process including preparation of tender documents, evaluation of bids, and presentation of a recommendation with the preferred contractor and proposed budget.
• Manage contracts with main contractors and interior designers, and other specialist vendors.
• Conduct regular site visits to oversee works quality, workmanship standards, and adherence to approved conservation methods.
• Ensure contractors comply with all workplace safety and health (WSH) requirements on site.
• Manage vendor performance, resolve disputes, and administer contract variations as required.

4. Budget C Cost Control

• Develop, manage, and track the full project budget, including contingency provisions.
• Review and approve progress claims, variation orders, and invoices in accordance with internal approval protocols and agreed delegations of authority.
• Provide regular cost reports to the COO, highlighting any variances and recommending corrective actions.
• Drive value engineering opportunities without compromising quality or heritage integrity.
• Ensure all expenditure is properly recorded and audit ready.

5. Leasing of surplus floor space

• Identify, liaise with, and determine an appropriate third party agent
• Coordinate a marketing campaign
• Provide recommendations on prospective tenants
• Coordinate the negotiation and handover and moving in period for the tenants, including lease preparation, in conjunction with the agent and in house legal

6. Other general duties

• Promote the best outcomes for the office
• Consult with a broad range of stakeholders, including owner and senior executives of the firm
• Support other ad hoc tasks related to as required.

Requirements:

This role would suit someone confident, proactive and able to drive delivery across multiple workstreams in a fast-paced environment who will be trusted to ensure the success of the project.

• Applies the group's project cost control methodologies and standards at the project/programme level.
• Ensures project teams follow defined processes for estimation, forecasting, cost recording, and change control.
• Provides feedback to improve cost control practices and tools.
• Monitors cost performance for assigned projects or programme clusters, including forecasting and variance analysis.
• Reviews monthly cost reports, dashboards, and financial insights submitted by Commercial Units.Validates assumptions, quantifies risks, and highlights financial issues requiring escalation.
• Maintains accurate project financial data within the group’s cost management system and related tools.
• Collaborates with system owners to resolve data quality issues and propose enhancements.
• Supports training and onboarding for system users.
• Supports project managers in developing cost estimates, business case financials, and annual budgets.
• Monitors baselines, tracks expenditures, and validates cost impacts of change requests.Ensures project spending stays within approved financial thresholds.
• Collates documentation and evidence for internal and external audits. Maintains financial records in compliance with group cost control policies. Conducts verification checks to ensure adherence to governance controls.
• Engages with project managers, Finance, Procurement, and Subcontracting to ensure effective cost management.

  Requirements:

• Possess Bachelor’s degree in Computer Science, Information Technology, or related field (preferred).
• Minimum 10 years of experience in system development and support.
• Strong leadership and management capabilities.
• Extensive knowledge of Java, Spring Boot, Angular, Oracle SQL, Power Automate, Power Apps, and Power BI.Strong understanding of DevSecOps, CI/CD, Microservices, Domain-Driven Design, and Security by Design.
• Experience in both waterfall and agile SDLC methodologies.Excellent analytical and problem-solving skills.
• Strong communication and interpersonal abilities.
• Experience in effort and duration estimation, including requirements, design, testing, implementation, data mapping, and interfaces (added advantage).Experience modernizing legacy applications with modern technologies (optional but preferred).

Key Responsibilities

1. Supply Growth & Network Expansion

·      Drives and support the execution the multi-year roadmap for Vita Coco’s sourcing and production expansion across Southeast Asia based on defined and aligned strategic framework

·      Support the development of long-term partnerships framework and contracting principles, coordinating with Finance, Legal, Planning, and Tech teams to ensure respective standards are captured

·      Lead feasibility and duediligence assessments for new partners and facilities, ensuring commercial, technical, and ESG standards are met

·      Develop diversification and risk mitigation strategies to manage political, market, and climate-related volatility

2. Market Intelligence & Insight

·       Develop and maintain regional market intelligence agenda, enabling teams with a forward-looking understanding of agricultural trends and supply dynamics across Southeast Asia

·      Anticipate and evaluate emerging risk and opportunities, translating insights to support sourcing strategies and risk mitigation plans

·      Support and coordinate business case development for new sourcing or ESG initiatives, ensuring inputs from relevant stakeholders are aligned to inform capital allocation, co-manoptimization, and long-term capacity planning

·      Build and maintain a comprehensive regional supply map to guide strategic sourcing decisions and identify gaps or opportunities for expansion and resilience

3. Supplier Systems & Processes

·      Coordinate and work with technical and planning stakeholders to establish a supplier classification framework to assess maturity, capability and performance across the network

·      Develop the structure for how supplier information, metrics, and ESG data are captured, tracked, and shared —forming the foundation for a future vendor management system.

4. Responsible Sourcing & ESG

·       Establish and embed responsible sourcing and traceability standards into supplier selection and management systems to ensure ESG is integrated into business growth

·      Build and integrate ESG metrics and tools into sourcing and production workflows in partnership with the technical and SIS teams, enabling supplier performance tracking and continuous improvement (e.g. HowGood, integrity scorecards)

·      Map and analyze agricultural practices, supply trends, and climate risks to identify key sustainability opportunities and risks and inform sourcing innovation and long-term growth strategies

·       Collaborate with SIS and Vita Coco Community Foundation teams to design and fund programs that strengthen smallholder livelihoods, social impact, regenerative agriculture, and climate resilience

• Establish an agronomy network across Southeast Asia, prioritizing collaboration with government agricultural ministries, to support responsible sourcing, innovation, and capacity building
• Develop and institutionalize best-in-class agronomic practices and varietal insights to improve coconut quality, yield, and ecosystem resilience, embedding this knowledge into sourcing and supplier engagement strategies
