• Regularly checking and promptly respond to customer emails, maintaining professional communication. 
• Ensure forward all quotation to customer on time. 
• Keep customers updated with the latest PR quotations promptly. 
• Prepare and compile necessary monthly reports for the department. 
• Maintain an up-to-date list of pending customer Purchase Orders (PO). 
• Handle payments for CIDB levies and contract stamping fees required for projects or jobs. 
• To undertake other related jobs from time to time as directed by the superior.

Roles & Responsibilities

The position is reporting to the Group Company Secretary.

As Company Secretarial Executive, you will support the Company Secretary in providing corporate secretarial and governance administration to the group, thereby ensuring statutory compliance with the provisions of the Companies Act, Bursa Malaysia listing requirements and Securities Commission. You will be part of a small but busy team undertaking company secretarial duties in a commercial environment. 

Scope of roles and responsibilities:

Ensure statutory compliance across the subsidiary companies by maintaining corporate records and information.

Prepare statutory information for filing at the Securities Commission.

Manage the company secretarial compliance work for a PLC and its group of subsidiary companies.

Support and manage corporate secretarial matters and compliance with statutory requirements.

Manage Board and shareholders matters such as organizing board meetings, preparing and circulating board papers, reports,minutes and announcements.

Attend board meetings for the group of companies.

Requirements: Candidate profile.

Bachelor degree in Corporate Administration or professional qualification ICSA (fully qualified or part qualified finalist).

Some corporate secretarial experience gained would be preferred.

Sound interpersonal skills with ability to liaise effectively at all levels.

Good command of English, verbal and written.

Pleasant disposition with humble approach and excellent interpersonal and communication skills.

Proficient in MS Word, Excel and Power Point.

This position is offered on a 6-month full-time, on-site contract basis. A probationary period of 3 months will apply from the commencement date. Job Scope

Payroll & HR Administration

• Process monthly payroll and ensure accuracy and timeliness
• Ensure compliancewith statutory requirements, including CPF contributions and tax submissions
• Maintain proper employee records in accordance with applicable regulations
• Work with Employer of Record (EOR) providers for regional offices, including (but not limited to) Malaysia, Vietnam, Indonesia, and other jurisdictions as required

HR Policies & Compliance

• Develop, review, and update HR policies, including employee handbook

• Ensure HR practices comply with applicable employment laws and regulations in Singapore and relevant regional jurisdictions (e.g. Malaysia, Indonesia, and others where applicable)

Recruitment & Talent Acquisition

• Manage end-to-end recruitment processes for Singapore office and support hiring across regional offices including (but not limited to) Malaysia and Indonesia
• Prepare job advertisements, coordinate interviews, and support hiring decisions
• Ensure fair, merit-based, and compliant recruitment practices

Employee Relations & Office Administration Support

• Serve as the point of contact for employees on HR-related matters
• Support onboarding and offboarding processes
• Assist in performance management and employee engagement activities (events and meetings)
• Manage office procurement activities, including sourcing, vendor comparison, and purchase of office supplies and services
• Monitor office inventory and ensure adequate stock levels
• Support general office administration and facilities-related matters

Job Requirements:

• Diploma or Degree in Human Resource Management or related discipline
• At least 2–4 years of relevant HR experience, with exposure to office administration or procurement functions
• Familiarity with Singapore employment regulations; regional exposure (Malaysia and Indonesia) is advantageous
• Knowledge of payroll processing and statutory compliance requirements
• Strong organisational, negotiation, and interpersonal skills
• Able to handle confidential information with integrity
