JOB RESPONSIBLILITY:
- Coordinate export order processing between overseas customer and the factory to ensure smooth production and shipment flow.
- Prepare and issue delivery instructions (DI/DO) to relevant production and warehouse teams for timely delivery.
- Liaise with forwarding agents, logistics providers, and shipping companies to arrange export shipments and ensure accurate documentation.
- Monitor daily sales orders, shipment schedules, and delivery status to ensure on-time delivery (OTD) performance.
- Prepare and verify export documents such as Delivery Notes, Invoices, Packing Lists, Certificates of Origin, and other necessary shipping documents.
- Communicate with Japanese customers using basic Japanese (email/WhstsApp) when required; assist internal teams with simple translation.
- Track and update export shipment records, lead time, and logistics performance indicators.
- Coordinate with internal departments (production, QA, warehouse, planning) to resolve export-related issues.
JOB REQUIREMENTS:
- Candidate must possess at least a Diploma in Logistics / Supply Chain / Business Studies, or equivalent.
- Japanese language literacy (JLPT N4) is an added advantage – able to readd simple emails, handle basic communication, and understand basic Japanese terms.
- Minimum 1 year of working experience in export, shipping, logistics, or supply chain functions.
- Proficient in Microsoft Office (Excel, Word, Outlook)
- Strong coordination skills, attention to detail, and ability to work under time pressure.
- Good communication skills and a positive working attitude.
- Ability to multitask and manage multiple shipments at once.
