About the role
The HR Operations Specialist ensures efficient, compliant and high quality delivery of HR services across the employee lifecycle in several countries in the region. This role plays a key part in maintaining HR systems and data integrity, administration and ensuring smooth onboarding and leaver processes. The role also includes responsibility for general office administration in Malaysia office.

Key Accountabilities

HR Systems & Reporting

• Maintain accurate and up-to-date employee records, ensuring HR systems reflect current employee data and status.
• Provide guidance to employees and managers on HR system processes, including Employee and Manager Self-Service, and act as the key point of contact for system-related queries and issue resolution.
• Prepare and maintain organisational charts for audit and business purposes, ensuring regular updates to shared platforms.
• Collaborate with regional and global HR stakeholders to ensure consistency, accuracy, and timely filing of employee documentation within central HR systems and repositories.
• Identify opportunities for process automation to improve data accuracy and operational efficiency.
• Maintain employee personal files with up-to-date records for easy retrieval and compliance purposes.
• Preparing monthly headcount reports as requested
• Building SOP for HR processes for the JAPAC region.
• Support audits and data reporting requirements
• Identify process gaps and support continuous improvement initiatives and support system testing, data uploads, and reporting

Onboarding

• Manage end-to-end onboarding activities for new hires, including preparation of employment contracts and ensuring compliance with recruitment and employment standards.
• Coordinate induction activities and work with line managers and assigned buddies to support smooth integration of new employees.
• Administer probation processes by tracking review timelines, supporting managers, and issuing confirmation letters and related documentation.
• Prepare employment contracts and formal documentation related to changes in terms and conditions, ensuring compliance with internal policies and approval workflows.
• Liaise with external benefits providers to manage employee benefit enrolments and changes, ensuring a positive employee experience.
• Maintain and update HR documentation, including policies, procedures, templates, and forms, ensuring alignment with business requirements and applicable employment legislation.

Leavers & Offboarding

• Ensure resignations are acknowledged promptly and guide line managers through the leaver process.
• Coordinate final pay calculations in accordance with employment terms and payroll schedules.
• Facilitate exit interviews, compile insights, and share trend analysis with HR stakeholders to support continuous improvement initiatives.

Office Administration

• Manage general office administration and coordination activities.
• Support scheduling, meetings, and calendar coordination.
• Manage office supplies, vendor relationships, and facilities-related requests.
• Provide administrative support for HR and office operations, including invoices, claims, and data entry.
• Deliver ad-hoc administrative support to management and teams as required.

• Degree or Diploma in Human Resources, Business Administration, or a related discipline.
• Experience using HR Information Systems (HRIS) is highly desirable.
• Ability to work independently, take initiative, and adapt quickly in a dynamic environment.
• Strong capability to manage multiple priorities and meet tight deadlines with high attention to detail.
• High level of professionalism, discretion, and integrity when handling confidential and sensitive information.

Regional Senior Business Development Manager (CSM) is responsible for driving growth of Clinical Supplies Management services across the APAC region. The role focuses on identifying and securing new opportunities with pharmaceutical and biotech companies, particularly in clinical trial supply, comparator sourcing, and global logistics solutions.

This position requires strong understanding of clinical trial operations, supply chain complexity, and regulatory environments, combined with a proven ability to build strategic partnerships and deliver commercial outcomes.

Key Responsibilities :

Business Development & Pipeline Growth

• Drive performance and achievement of assigned business development targets

• Business Development & Pipeline Growth
• Identify and pursue new business opportunities for:

o Clinical trial supply services

o Comparator sourcing and procurement

o Global logistics and distribution solutions

• Build and manage a robust pipeline of pharma and biotech clients across APAC.
• Lead end-to-end sales cycle including prospecting, proposal development, and contract negotiation.
• Liaising with global Business Development team – with respect to the effective evaluation exploitation and implementation of various business opportunities in designated territories.

Strategic Account Management

• Maintains contact with all clients in the market area to ensure high levels of client satisfaction.
• Develop strong relationships with:

o   Clinical operations teams

o   Procurement and sourcing functions

o   CRO partners and sponsors

• Position the organization as a trusted partner for clinical supply solutions.
• Drive account growth through cross-selling and long-term partnerships.
• Compiling and maintaining a database of all agreed target clients.
• Ensure that all queries received from customers which relates to products are handled within reasonable time in accordance with the company’s SOPs
• Monitor trends in:

o   Clinical trial activity across APAC

o   Therapeutic areas (e.g., oncology, rare diseases)

o   Comparator drug demand and supply challenges

Cross Functional Collaboration & Administration

• Work closely with:

o   Supply chain & logistics teams and network partners

o   Quality & compliance

o   Regulatory and QA teams

• Ensure feasibility and operational alignment for all proposals.
• Support seamless transition from sales to execution.
• Adheres to all company policies, procedures and business ethics codes and ensures that they are communicated and implemented within the team.
• Assist in business development forecasting and infrastructure utilisation.
• Compiling, reconciliation and submission of monthly sales reports related to the position.
• Understand and operate within:

o   GxP requirements (GMP/GDP)

o   Import & export regulations across APAC

 Marketing

• Formulate a marketing and engagement plan to effectively position Clinigen and communicate with prospective clients within the region
• Develop promotional material  and marketing campaigns for responsible service portfolios
• Monitor market research organization data to assess trends, changes and adapt strategies accordingly to counteract competitor activities
• Assist with arranging of regional activities, conferences, speakers, programmes and other promotional events

• Bachelor’s degree in Life Sciences, Pharmacy, or Business (MBA preferred)
• 8–15+ years of experience in:

o   Clinical trial supply

o   Pharma logistics

o   Contract Research Organization (CRO)/Contract Development & Manufacturing Organization (CDMO)/ Comparator Sourcing

• Proven track record in business development or commercial roles within pharma services
• Experience managing multi-country or regional portfolios (APAC preferred)
• Strong understanding of clinical trial supply chain & operations
• Proven track record in Business Development in Clinical Supply Management
• Up to date knowledge of market dynamics
• Good relationship with key customers in the healthcare sector within the region

Responsible for providing financial analysis, insights and decision support to our Asia Pacific business units. This role bridges finance and operations, ensuring financial performance is understood, risks are managed, and opportunities for value creation are identified. This role partners closely with General Managers, Operations Directors and other functional Directors to provide financial insights, support decision-making with strong alignment with business targets

Key Accountabilities:

Financial Planning & Analysis

• Support the budgeting process, long-range planning, and financial forecasting
• Support business cases preparation and provide financial input in contract negotiation for new projects and product launches
• Provide financial support for commercial strategies, lifecycle management, and operational initiatives.
• Translate financial data into actionable business insights focused on pricing strategies, cost optimisation, and margin improvement

• Partner with Commercial, Business Development, Medical, Regulatory Affairs, HR, and other functional leaders to support decision making and investment prioritization.

Performance Management

• Monitor financial performance against KPIs and targets
• Analyse variances between actuals and forecasts, identifying key drivers

• Guide teams with financial insights that balance growth, profitability, and cost discipline

Process Improvement

• Identify and drive opportunities for improving financial processes and systems

• Bachelor’s degree in Finance, Accounting, Economics, or related field.
• Professional qualification (CPA, ACCA, CFA) is preferred.
• 5+ years’ experience in FP&A, commercial finance, or business partnering roles
• Healthcare, FMCG or related business experience useful but not essential
