Job Description (JD)

Position: Supply Chain Executive / Senior Executive

1. Overview

We are seeking a motivated and detail-oriented Supply Chain Executive / Senior Executive to support our procurement, logistics, and inventory operations.

This role is ideal for candidates with 1–2 years of experience who are eager to grow, with a strong emphasis on attitude, learning mindset, and accountability.

2. Key Responsibilities

A. Costing & Analysis

• Prepare and maintain product costing and pricing analysis
• Support budgeting and cost comparison for procurement decisions
• Monitor cost fluctuations and highlight variances
• Assist in improving cost efficiency across supply chain operations

B. Purchasing

• Source, evaluate, and engage suppliers for materials and services
• Prepare purchase orders and ensure timely delivery
• Track order status and follow up with suppliers
• Ensure compliance with internal procurement policies

C. Logistics & Coordination

• Coordinate shipments, deliveries, and documentation
• Liaise with logistics providers and freight forwarders
• Monitor delivery schedules and resolve delays
• Support import/export documentation where applicable

D. Supplier Management

• Maintain good relationships with suppliers and vendors
• Monitor supplier performance (cost, quality, delivery timelines)
• Assist in supplier evaluation and onboarding
• Handle basic negotiation and issue resolution

E. Inventory & Warehousing

• Monitor inventory levels and ensure optimal stock availability
• Support stock planning and replenishment
• Work closely with warehouse team on stock accuracy
• Assist in stock take and reconciliation exercises

F. Reporting & Documentation

• Prepare regular reports (costing, inventory, purchasing status)
• Maintain accurate records of procurement and logistics activities
• Use Excel to analyze data and generate insights
• Ensure proper documentation for audit and compliance purposes

3. Requirements

Experience

• Preferably 1–2 years of experience in supply chain / purchasing / logistics
• Fresh graduates with strong attitude are welcome to apply

Skills & Competencies

• Proficient in Microsoft Excel (e.g. VLOOKUP, pivot table preferred)
• Strong analytical and problem-solving skills
• Good understanding of inventory and warehousing concepts
• Ability to multi-task and manage priorities effectively
• Good communication and coordination skills

4. Preferred Qualifications (Good to Have)

5. Position Level Guideline

• Executive: 1–2 years experience, requires guidance
• Senior Executive: Able to work independently, handle supplier coordination and costing with minimal supervision

6. Reporting Line

• Reports to: COO
• Works closely with: Finance, Project Team, Warehouse, and Vendors

Key Responsibilities

1. Materials Management & Procurement

·       Develop materials planning strategies to align with project timelines and business needs.

·       Oversee purchasing activities, ensuring cost-effective and timely procurement of materials.

·       Manage supplier relationships to secure quality materials at competitive prices.

·       Monitor supplier performance and implement corrective actions where necessary.

2. Logistics & Warehouse Operations

·       Ensure efficient inventory management and stock accuracy to prevent shortages or excess.

·       Optimize logistics and delivery schedules for smooth and timely project completion.

·       Coordinate with third-party logistics providers for transportation and distribution.

·       Maintain warehouse operations to ensure safety, compliance, and efficiency.

3. Cross-Functional Collaboration

·       Work closely with Project Engineering, Pre-Sales, Product Engineering, Service and Response, Quality, and Compliance teams to align supply chain activities meeting business and company’s goal.

·       Support new product introduction (NPI) by ensuring material readiness.

·       Provide proactive solutions to mitigate supply chain risks impacting project deadlines.

4. KPI Setting & Management Reporting

·       Establish clear KPIs for procurement efficiency, supplier performance, inventory turnover, delivery and timely project management.

·       Develop regular management reports with actionable insights on supply chain performance.

·       Implement continuous improvement initiatives to enhance cost savings, efficiency and supply chain resilience.

Requirements

·       Bachelor’s Degree in Supply Chain Management, Business, Engineering or related field or 3-5 years of experience in supply chain, procurement, or logistics, preferably in the Data Centre industry.

·       Strong skills in supplier negotiation, ERP/MRP systems, and data-driven decision-making.

·       Ability to lead cross-functional collaboration in a fast-paced environment.

·       Excellent problem-solving skills with experience in risk management and process optimization.
