Role Overview

We are looking for a hands-on and proactive HR Generalist to support end-to-end HR operations across the employee lifecycle. This role will partner closely with business leaders to drive HR initiatives, ensure operational excellence, and enhance employee experience.

Key Responsibilities

1. HR Operations & Employee Lifecycle

• Manage end-to-end employee lifecycle processes including onboarding, confirmation, transfers, and offboarding
• Maintain accurate employee records and ensure proper documentation in HR systems
• Support payroll inputs, leave management, and benefits administration

2. Recruitment & Talent Acquisition

• Support hiring managers in recruitment activities including job postings, screening, interview coordination, and offer management
• Work with stakeholders to understand hiring needs and improve time-to-hire
• Ensure a smooth onboarding experience for new hires

3. Employee Relations & Engagement

• Act as a point of contact for employee queries and HR-related matters
• Support employee engagement initiatives and internal communications
• Assist in handling employee relations issues, including disciplinary matters and grievance handling

4. Performance Management & HR Programs

• Support performance review cycles and track completion of appraisals
• Assist in implementing HR policies, frameworks, and initiatives
• Drive HR projects such as engagement surveys, culture initiatives, and process improvements

5. Compliance & Policy Management

• Ensure compliance with local labour laws and internal HR policies
• Support audits and ensure proper HR documentation and reporting
• Maintain and update HR policies and employee handbook

• Bachelor’s degree in Human Resources, Business Administration, or related field
• 3–6 years of HR generalist experience
• Strong understanding of HR operations, employment laws, and best practices
• Good interpersonal and communication skills
• Ability to handle sensitive information with confidentiality
• Proactive, detail-oriented, and able to work in a fast-paced environment

About the role

We are looking for a dynamic HRBP to support Malaysia team and regions. This role is a unique blend of regional talent acquisition, employee relations, and HR Operations. You will be the backbone of our regional people operations, ensuring that our systems run smoothly and our employees are supported across borders.

Key Responsibilities

• Regional Recruitment: Drive end-to-end hiring strategies for Singapore, Malaysia, and India.
• Employee Relations: Serve as the trusted advisor for managers and employees in Malaysia, ensuring local labor law compliance.

• Payroll and compliance: Conduct meticulous final reviews of payroll processing for regional entities.
• Ensure statutory compliance and timely filings across all jurisdictions.
• Liaise with finance teams to ensure budget accuracy and reporting.

• Ensure data integrity across all platforms and generate regional people analytics/reports.

• Build a strong employer brand within Igloo markets.

• Act as the primary contact point for employee grievances, performance management, and labor law inquiries across the regions.
• Develop and implement HR initiatives that foster a positive company culture and high employee retention.

• Experience: 3+ years in an HR Generalist or HRBP role, preferably with regional exposure to Southeast Asia and India.
• Systems Proficiency: Proven experience managing HRIS and ATS platforms (e.g., Hibob, Workable, or Greenhouse).
• Technical Literacy: Strong understanding of payroll cycles and statutory requirements in Malaysia and India.
• Communication: Exceptional interpersonal skills with the ability to influence stakeholders across different cultures and time zones.
• Problem Solver: A "tech-forward" mindset with a knack for improving manual processes through system automation.

Job Description of People Operations Associate: 

Thoughtfull is seeking an HR Operations Associate to support the expansion of our regional teams in Malaysia, Hong Kong, and Singapore. The ideal candidate will possess strong attention to detail and organizational skills, and be able to effectively manage multiple tasks in a fast-paced and growing environment. This role requires a meticulous and reliable individual who is eager to learn and contribute to supporting business growth and scalability. A positive attitude, strong sense of responsibility, and good communication skills are essential. What you will do:  

• Be the first line of support for employees, acting as a point of contact for HR-related queries such as policies and benefits
• Support the end-to-end employment journey from pre-boarding to offboarding, including maintaining HR systems, organizing employee records, and assisting with HR reporting
• Provide day-to-day HR support and guidance to employees, ensuring adherence to HR policies, procedures, and local labor regulations
• Support the KL site lead in fostering a positive and engaging work environment for the KL team
• Assist in the implementation and rollout of people programs and initiatives
• Collaborate cross-functionally with Ops, Finance, and other departments to support people-related processes and projects

• 2–5 years of experience in an HR or People Operations role, preferably in a fast-paced and growing environment; exposure to improving or supporting operational processes is a plus
• Language: Fluent in English and Chinese to support global stakeholders.
• Strong organizational and coordination skills, with the ability to manage multiple tasks and priorities effectively
• Proactive and reliable, with the ability to take initiative and follow through on tasks and improvements
• Adaptable to change, with respect for different work styles, and able to handle confidential and sensitive information with discretion
• Prior experience in a fast-growing startup or scale-up environment in the APAC region is a plus

Basic Salary Range: MYR4,000 - MYR6,400
