Job Summary

The HR Admin Assistant providesadministrative and coordination support to the Human Resources Department inmanaging day-to-day HR operations. The role supports staff documentation,onboarding, work pass matters, medical and health check-up coordination, staffinsurance administration, jab/vaccination arrangements, air ticketarrangements, roster updates, HR system entries, training records and generalHR filing.

The role is important in ensuring HR recordsare accurate, processes are followed up on time, and HR backend support iscarried out smoothly in line with organisational policies and compliancerequirements.

Key Responsibilities

1. HR Administrative Support

• Maintain and update staff personnel files and HR records, both physical and digital.
• Prepare and submit staff issuance documents, including ID cards, onboarding forms and related HR documents.
• Coordinate new hire documentation and onboarding packs.
• Assist with filing, scanning, data entry and document control.
• Ensure HR documents are properly maintained and ready for internal review, audit or compliance checks.
• Support HR in preparing letters, forms, reports and other administrative documents when required.

2. Work Pass, Passport and Regulatory Coordination

• Track and monitor foreign staff work pass matters, including Work Permit, S Pass and passport expiry dates.
• Coordinate with vendors, employment agents and relevant parties for timely submission, renewal and cancellation of work passes.
• Assist in preparing and maintaining MOM-related documentation.
• Follow up with staff and relevant parties on outstanding documents or renewal requirements.
• Ensure all work pass and regulatory documents are updated and properly filed for audit and compliance purposes.

3. Six-Monthly Health Check-Up and MedicalCoordination

• Arrange six-monthly medical check-ups for foreign staff where applicable.
• Coordinate appointment scheduling with clinics, staff and relevant departments.
• Follow up to ensure medical check-ups are completed on time.
• Maintain proper records of medical reports, check-up status and related documents.
• Update HR records and track outstanding medical or health-related requirements.

4. Jab / Vaccination Coordination

• Coordinate staff jab or vaccination arrangements when required by the Home, authorities or operational needs.
• Liaise with clinics, healthcare providers and internal departments on vaccination schedules.
• Follow up with staff to ensure attendance and completion of required vaccinations.
• Maintain accurate vaccination records and supporting documents.
• Assist in preparing vaccination-related reports or updates when required.

5. Staff Insurance Coordination

• Assist with staff insurance enrolment, updates and administrative follow-up.
• Coordinate with insurance providers, staff and internal departments on staff insurance matters.
• Support the submission and follow-up of insurance-related documents.
• Maintain accurate staff insurance records and ensure staff information is updated.
• Assist staff with basic insurance-related queries and direct complex matters to the Head of HR where required.

6. Travel and Air Ticket Arrangement

• Arrange air tickets for foreign staff for home leave, emergency leave, repatriation or other approved travel purposes.
• Liaise with travel agents or booking platforms to source suitable and cost-effective flight options.
• Coordinate with staff on travel dates, passport details and required travel information.
• Maintain records of air ticket bookings, approvals and related documents.
• Ensure travel arrangements are aligned with HR policies, budget and operational requirements.

7. Training and Data Entry

• Key in AIC training hours and update staff development records.
• Assist in formatting, preparing or submitting training-related reports and summaries.
• Maintain accurate training records for reporting and audit purposes.
• Support HR in tracking staff training attendance and training completion status.

8. Filing, Archiving and Document Control

• Archive staff and resident records in the basement archival room according to filing protocols.
• Ensure documents are properly labelled, stored and retrievable when needed.
• Assist in maintaining proper filing systems for HR records.
• Support document housekeeping to ensure records remain organised and confidential.

9. Ad-Hoc and Cross-Support Duties

• Provide relief reception support during staff leave or operational needs.
• Assist in general HR administrative duties and internal coordination work.
• Support HR projects, staff events and other department activities when required.
• Perform any other duties assigned by the Head of HR or the Home.

Requirements

• Diploma and above in Human Resources, Business Administration, Office Administration or related discipline.
• Able to communicate effectively in English and Mandarin to liaise with English- and Mandarin-speaking staff, vendors and external service providers.
• Good communication and coordination skills, with the ability to follow up on tasks promptly.
• Comfortable handling basic administrative duties, data entry, filing, documentation and coordination work.
• Able to maintain accurate records and handle confidential staff information with care.
• Proficient in basic Microsoft Office applications, such as Word, Excel and Outlook.
• Organised, responsible and attentive to details.
• Able to work independently and support day-to-day HR operations.
• Prior experience in HR administration, healthcare, nursing home or social service sector will be an advantage.
• Candidates with relevant administrative experience but without direct HR experience may also be considered.

Duties & Responsibilities:

Prepare and cook assigned dishes for serving according to the menu

Assist in the upkeep and sanitization of food preparation area, processing equipment and cooking utensils

Prepare all food according to all safety standards stipulated by local regulatory agencies

Report to Head Cook on any faulty equipment

Assist to modify and implement dishes in accordance to customer feedback

Perform any other related duties as assigned by the Head Cook

Requirements:

At least 2 years of relevant work experience

Knowledge of Asian Cuisine is a essential

Good food styling skills is an advantage

Enjoy cooking and able to withstand kitchen environment

Able to work on a split-shift, 6 days week basis

1. Provide fullspectrum human resource functions support including recruitment, payrollprocessing and administration, compensation and benefits, employee relationsand retention programs, employee learning and development etc.

2. Assist andsupport in providing HR advisory service to line functions and ensure allemployment activities and HR practices are aligned with HR policies and incompliance with employment legislations.

3. Liaise closelywith hiring managers on their recruitment requirements, establish and manageall recruitment resources and activities creatively and effectively to deliverconsistent and timely manpower results. 

4. Process andmonitor all work pass matters including application, renewal, cancellation ofpass holders, security bond, updates of OFWAS etc.

5. Handle allrecruitment processes and its related administrations from onboarding tooffboarding of employees as well as any other employment changes i.e.confirmation, transfer, deployment, re-employment etc.

6. Provide timelyand accurate payroll processing and all related reports as well as allstatutory reports submissions and filing requirements e.g. IR21, CPF, IRAS, NSetc, and ensure its compliance with company’s policies and locallegislations. 

7. Build rapport,engage and sustain good relationship with all stakeholders.

8. Providesupport in the compilation of HR reports, government surveys and submissions.

9. Assist andsupport in the annual budgeting and full appraisal exercise cycle.

10.  Support andcoordinate employee engagement and talent management programs such as inductionand orientation, training and development program, internships and industrialattachment.

11.  Assist inplanning and organizing employee engagement and team bonding activities i.e.townhall sessions, work health promotion and recreational activities and eventsetc.

12.  Be part of theteam to provide support in reviewing policies and contracts renewal includingcollective agreements, staff insurance policies, staff bus contract etc.

13.  Handle all HRadministration including birthday vouchers, update of internal telephonedirectory, proper filing of all documentations and records in soft and hardcopies.

14. Any other duties as and when assigned by the ReportingOfficer/Head of Department.

Requirements:

·        Minimum a Diploma in Human Resource Management or equivalent

·        At least 2 years of hands-on relevant experience preferably in serviceor hospitality industry. Those with payroll processing and training &development experience would be an added advantage.

About

This temporary role supports HR operations across the employee lifecycle, ensuring compliance, smooth HR processes, and operational support while the incumbent HR staff is on maternity leave. The role focuses on administration, recruitment, payroll support, reporting, and employee engagement, providing a well-rounded HR experience in a fast-paced environment

Reporting: Reports to the Senior HR Manager based at another site, with regular remote coordination via calls, emails, and virtual meetings, while providing on-site HR support and working closely with the site Operations Heads on day-to-day operations.

Responsibilities
1. HR Administration

• Maintain and update employee records and HR databases
• Prepare HR-related documents such as employment contracts, confirmation letters, and memos
• Ensure proper documentation and filing (electronic and physical)

2. Recruitment& Onboarding

• Post job advertisements, screen candidates and coordinate interview arrangements
• Prepare offer letters and onboarding materials
• Conduct onboarding briefings for new hires
• Handle Work Pass applications and renewals, including related processes such as security bonds and other statutory requirements

3. Payroll &Benefits Support

• Support payroll activities by collecting attendance, leave records, and related documents for processing
• Administer employee benefits such as insurance and leave entitlements
• Handle employee queries related to payroll and benefits, escalating sensitive matters to HQ HR

4. Leave &Attendance Management

• Monitor employee attendance and leave records
• Ensure accurate and timely updates in the HR system

5. Employee Relations& Policy Guidance

• Serve as a point of contact for HR-related inquiries and provide guidance on policies
• Support implementation of HR policies, procedures, and initiatives
• Assist in offboarding processes, including exit interviews and clearance

Requirements

• Diploma / Degree in Human Resources, Business Administration or equivalent
• Minimum 2-3 years of relevant experience in HR
• IT-savvy with good proficiency in Microsoft Office applications (especially Excel)
• Experience with HRMS systems(e.g. Info-Tech, Workday) will be advantageous
• Good knowledge of MOM regulations and other statutory boards’ regulations
• Well-organised, systematic, meticulous, multi-tasking, and a good team player
• Proficient in both English and Mandarin
