PT. Midplaza Prima is looking for a detail-oriented and organized Admin Engineering staff for supporting the smooth operation of the Engineering Department through administrative management, document filing, reporting, vendor coordination, monitoring building maintenance activities, and ensuring that all engineering operational and financial documents are managed in accordance with company procedures.

Responsibilities:

• Responsible for building administration activities and ensuring all administrative processes, including financial matters (such as invoices, Purchase Requests, Purchase Orders, etc.), are handled properly in accordance with company procedures.
• Maintain good relationships with all tenants within the building.
• Ensure the availability of building operational supplies by preparing Purchase Requests and Store Requests in a timely manner while maintaining minimum stock levels.
• Respond to all tenant inquiries within the scope of responsibility and authority.
• Assist the Chief Engineer and Operational Manager in ensuring smooth operational activities, including administrative and financial-related tasks.
• Perform duties related to the IFCA System, Intranet, and Face Recognition Entrance Gate System.
• Update tenant data in the Entrance Gate System based on tenant requests and operational building requirements.
• Prepare monthly reports, including utility usage, attendance reconciliation, and meal allowance reports, for submission to the relevant departments or parties.
• Conduct monthly stock opname (inventory checking and reconciliation).

• Minimum education requirement: Diploma or Bachelor’s Degree in Administration, Engineering, Management, or related field.
• Minimum 1–3 years of experience as an Engineering Administrator, Building Administrator, Property Administrator, or in a similar position.
• Good understanding of building operational administration and building maintenance processes.
• Proficient in Microsoft Office applications, especially Excel, Word, and email correspondence.
• Strong administrative, filing, and reporting skills.
• Detail-oriented, organized, disciplined, and able to handle multiple tasks simultaneously.
• Excellent communication and coordination skills.
• Able to work under pressure and meet deadlines.
• Familiarity with IFCA/BMS systems will be an advantage.
• Possesses basic knowledge of data management and operational financial administration.

•Lead and manage the engineering department, coordinating with other teams to maintain high standards for guest experience and operational excellence.

•Develop and implement innovative strategies for optimizing operational costs, including energy and water usage.

•Oversee the implementation and management of preventive maintenance programs for guest rooms, public areas, and safety systems.

•Manage and control capital expenditures (CAPEX) projects, preparing budgets and assisting other departments as needed.

ABOUT THE ROLE

•Responsible for performing routine maintenance and minor repairs in guest rooms, public areas, and back-of-house.

•Assist in troubleshooting electrical, plumbing, and mechanical issues to ensure smooth daily operations.

•Support preventive maintenance programs and ensure all equipment is safe and well-maintained.
