What You’ll Do

• Liaise with clients, internal teams, and overseas partners to coordinate shipment activities

• Monitor, track, and troubleshoot inbound and outbound shipments to ensure timely delivery

• Support quotation preparation with accurate pricing and product details

• Proactively follow up on shipment status and resolve exceptions

• Prepare billing, invoices, and maintain accurate records and reports

• Update internal systems and trackers to ensure visibility and accuracy

• Build and maintain strong customer relationships

What We’re Looking For

• GCE O Level with 2 years of coordination or support experience

• Strong communication skills and confidence in handling stakeholders

• Detail-oriented, organised, and able to multitask effectively

• Comfortable with Microsoft Office and data handling

• Proactive and able to thrive in a fast-paced environment

• Experience in freight forwarding is an advantage

• General understanding of supply chain management concepts and processes is a plus

Job Description

• To ensure a smooth and accurate order fulfillment and logistics management for overseas distributor.
• Plan and submit demand to in-house system.
• Raise PI (proforma invoice) based on allocation received.
• Generate and issue weekly account statement.
• Liaising with Sales to ensure timely collection of customer payment.
• Arrange delivery based on different inco-terms, assist company in delivery cost controls, prepare export documents such as BL, commercial invoices and packing list.
• Closely monitoring shipment status from worldwide manufacturing sites, update stakeholders on delivery schedule and ensure all deliveries are smoothly made.
• Prepare and process shipment for letter of credit (LC), arrange export documents and ensure data accuracy and present LC documents on time. Monitoring transactions and follow until payment received.
• Thorough and regular refund/rebate document preparation. Ensure accuracy and timely process of the rebate documentation.
• Actively liaise with customers and Sales team to provide logistics and order supports.
• Ensure customers’ requests and enquiries are fulfilled in a prompt action.
• Aggressively follow up and be proactive in provide extended support to both internal and external teams.
• Any other tasks as and when assigned by the management.

Job Requirement:

• Candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma in Supply Chain/Business Admin or relevant.
• Minimum of 1 year(s) of working experience in the related field is required for this position.
• Candidates must be proficient in Mandarin due to regular daily communication and liaison with our HQ.
