Job Scope

• Provide administrative support to the Condo Manager and Management Office

• Process move-in / move-out applications and renovation submissions
• Coordinate facilities bookings (function rooms, BBQ pits, courts, etc.)
• Issue circulars, notices, and announcements to residents
• Manage contractor documents (insurance, permits, access passes)
• Handle invoice processing, petty cash, and filing of financial records
• Assist in preparation of reports, correspondence, and meeting documents
• Maintain proper document filing system (hardcopy and electronic)
• Liaise with security, cleaners, technicians, and service providers
• Ensure compliance with MCST procedures and estate guidelines
• Support general office operations and perform ad-hoc duties assigned by Management

Requirements

• Preferably with property management / MCST experience
• Proficient in Microsoft Office (Word, Excel, Outlook)
• Good communication and interpersonal skills
• Organized, detail-oriented, and able to multitask
• Able to work on Saturdays (if required)

• Provide administrative and coordination support to the sales team on daily operations.
• Handle purchase-related tasks and liaise with customers on order matters.

Key Responsibilities

1. Scanning & Digitalisation of Records

• Verify physical and softcopy documents against inventory lists provided by laboratories or departments
• Digitise documents accurately in line with established naming conventions and file structures
• Perform quality checks to ensure all scanned files are complete, legible, and properly indexed
• Upload and maintain documents in designated shared drives or repositories in accordance with guidelines
