Job Summary

You will support daily administrative operations by managing communications, scheduling, document preparation, and invoicing to ensure smooth office workflow and client servicing.

Responsibilities

• File documents accurately to maintain organized records
• Send and reply to emails promptly to support communication flow
• Answer phone calls professionally to assist clients and colleagues
• Arrange servicing of air-conditioning units for clients to ensure equipment functionality
• Schedule technician appointments efficiently to meet client needs
• Prepare quotations and delivery orders accurately to support sales and logistics
• Process invoicing to ensure timely billing and payment tracking

Preferred competencies and qualifications

• Minimum ‘N’ level education
• Proficient use of MS Office (Word, Excel) to create and manage documents and spreadsheets
• Well-versed in Microsoft Outlook to manage emails and calendar scheduling

• Perform administrative duties and manage documentation to ensure smooth workshop operations
• Schedule and coordinate workshop activities to optimize workflow and resource use
• Maintain accurate customer records and job orders to support service delivery
• Facilitate clear communication between technicians and customers to enhance service quality
• Organize and maintain filing systems and perform data entry to ensure information accuracy
• Provide general office support to assist daily administrative functions

Preferred competencies and qualifications

• Basic computer skills including Microsoft Office and data entry to support administrative tasks
• Effective communication and organizational skills to manage interactions and workflow
• Ability to work efficiently in a fast-paced environment to meet operational demands
• No prior experience required; willingness to learn through provided training

Other Information

Benefits and Work Environment

• Monthly salary SGD 2,300 – SGD 2,400
• Work hours: Monday to Friday, 9:00 AM – 6:00 PM; 6-day work week with 6 monthly rest days
• Overtime pay according to MOM regulations
