Job Summary

The Accounting & Finance Executive will be responsible for managing the company’s day-to-day finance and accounting operations, ensuring accuracy, compliance, and strong financial control across business transactions. The role will handle Accounts Payable, Accounts Receivable, invoice creation, payment processing, bookkeeping, GST filing, tax filing support, cash flow analysis, expense management, and payroll coordination.

This position requires a detail-oriented and dependable finance professional who can maintain accurate books, improve financial discipline, support management with timely reporting, and ensure smooth coordination with vendors, customers, employees, banks, auditors, and tax consultants.

Key Responsibilities

Accounts Payable

• Process vendor invoices accurately and on time.
• Verify purchase documents, supporting approvals, and payment terms before processing payments.
• Track due dates and ensure timely payments to vendors, subcontractors, and service providers.
• Reconcile supplier statements and resolve invoice or payment discrepancies.
• Maintain proper records of advances, partial payments, and outstanding payables.

Accounts Receivable

• Generate and issue customer invoices accurately and on time.
• Track receivables, follow up on collections, and maintain AR ageing reports.
• Coordinate with customers and internal teams to resolve billing disputes or payment delays.
• Record incoming payments and reconcile customer accounts.
• Support management in improving collection efficiency and reducing overdue receivables.

Invoice Creation and Payment Processing

• Prepare sales invoices, debit notes, credit notes, and related accounting documents.
• Process bank payments, supplier transfers, employee reimbursements, and other approved disbursements.
• Ensure all payments are processed with proper authorization and supporting documentation.
• Maintain payment records and banking transaction logs.

Bookkeeping and Financial Records

• Maintain accurate books of accounts and record all financial transactions in the accounting system.
• Ensure proper ledger postings, journal entries, account reconciliations, and month-end closures.
• Maintain organized accounting documentation for audit and compliance purposes.
• Support preparation of monthly financial reports and management summaries.

GST and Tax Compliance

• Prepare data and working files for GST filing and ensure timely submission.
• Support direct and indirect tax compliance in coordination with external tax consultants or internal finance leadership.
• Maintain records required for tax filing, statutory reporting, and audits.
• Ensure supporting documentation is complete and compliant with local regulations.

Cash Flow Analysis and Management

• Track cash inflows and outflows on a regular basis.
• Prepare cash flow statements, forecasts, and payment planning reports.
• Support management in monitoring liquidity, payment obligations, receivables, and working capital.
• Help identify risks related to delayed collections, excess spending, or payment mismatches.

Expense Management

• Review and process employee claims, reimbursements, and business expenses.
• Ensure expenses are properly coded, approved, and recorded.
• Track recurring and project-related expenses for better cost visibility.
• Support control and monitoring of company spending against budgets and approvals.

Payroll Management

• Coordinate monthly payroll inputs including attendance, leave, claims, variable pay, deductions, and statutory components.
• Ensure payroll records are accurate and submitted on time to payroll processor or internal system.
• Support salary processing, payslip preparation, and payroll-related reconciliations.
• Maintain confidentiality and accuracy in employee compensation records.

Compliance, Audit, and Coordination

• Coordinate with auditors, tax consultants, payroll providers, banks, and internal stakeholders as needed.
• Ensure finance processes comply with company policy and local statutory requirements.
• Support audit readiness by maintaining proper records, schedules, and reconciliations.
• Assist in improving finance workflows, controls, and reporting discipline.

Candidate Profile

• Experience in accounting, finance, bookkeeping, or commercial finance operations
• Strong understanding of AP, AR, invoicing, reconciliations, and general accounting processes
• Familiarity with GST, tax compliance support, payroll coordination, and expense processing
• Good understanding of cash flow management and working capital tracking
• High attention to detail and accuracy
• Strong organizational and follow-up skills
• Ability to handle confidential information professionally
• Good communication skills and coordination ability across departments

Preferred Experience

• 2–6 years of relevant experience in accounting and finance operations
• Experience working in SME, project-based, services, trading, or technology-related businesses
• Familiarity with accounting software such as Zoho Books, Tally, QuickBooks, Xero, or ERP platforms
• Exposure to multi-entity or multi-country finance coordination is an advantage
• Experience working with external auditors, tax agents, and payroll providers is preferred
